Minneapolis Public Housing Authority is hiring a AMP Office Coordinator in MINNEAPOLIS, MN. This is a full-time position.
Internal Close Date: August 18, 2026 Grade Level: 7 (A) Salary: $26.02 - $38.23 per hour Salary Note: Starting pay rates are ultimately determined by the scope of the position, the candidate's relevant experience, and internal equity. New employees typically start in the lower half of the range, but experts in their field may be considered for starting pay rates in the top half of the range. Department/Location: Low Income Public Housing / 92 St Marys Ave SE Summary The primary purpose of this position is to provide administrative assistance to an assigned Regional Property Manager in the areas of payroll, procurement, preventative maintenance, work orders, and tenant transfers. The incumbent is responsible for handling requests and complaints related to day-to-day property management, completing data entry and processing, and performing other routine office tasks. All activities must support the Minneapolis Public Housing Authoritys (MPHA or Authority) mission, vision, and values. Essential Duties and Responsibilities The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties and skills may be required and assigned, as needed. Coordinates vacant unit process, including processing intend-to-vacate notices, tracking unit preparation work orders, preparing account reconciliation paperwork for tenant accounting, and processing vacate charges in a timely manner. Tracks turnover time and investigates discrepancies. Serves as the liaison between departments for vacancy information. Responsible for the long-term storage and maintenance of vacated tenant files. Serves as department coordinator for iProcurement software system, tracking and filing receipts and paid invoices. Manages petty cash for the AMP. Receives receipts, disperses funds, and reconciles receipts for check request to replenish funds. Tracks funds in compliance with finance audit standards. Monitors the authorized use of MPHA credit cards and accounts; reconciles receipts for monthly invoice approval. Performs P-card tracking and auditing. Processes sales and service charges and creates adjustment slips where needed for charges or credits. Sends original to Tenant Accounting with a copy to the tenant and the tenant file. Coordinates payroll and attendance tracking for the AMP. Maintains daily attendance log and informs appropriate departments of absences. Prepares timesheets for maintenance and trades staff based on daily time reports. Review timesheets for accuracy & appropriate use of leave, callback, overtime, and afterhours codes, as per the collective bargaining agreements. Audits stand-by-pay for Payroll Coordinator. Performs inventory control for appliances, including warranty tracking. Coordinates uniform purchases per collective bargaining agreements. Assists maintenance staff with purchases. Tracks orders and serves as liaison with vendor to fulfill orders. Returns or reorders items as needed. Performs general office administration, including ordering offices supplies, creating tenant notices appropriate to the target audience, scheduling meetings and appointments, assessing needs of callers and visitors, and responding to and resolving tenant and public inquiries. Provides assistance to Property Managers with Management Aide duties. Coordinates work order processing including opening and closing work orders, running reports, generating charges for current & vacated tenants, and investigating work order issues. Schedules Annual Preventive Maintenance of units, tracks and closes initial work order, and creates follow-up work orders. Coordinates showing of vacant units with the Leasing Department and Management Aide. Shows units to current and prospective tenants as needed. Updates and maintains inventory of Family Units Available for the Leasing Department, inputs data regarding new tenants in the Quarterly Inspection Log. Attends weekly vacancy meetings and provides updates to Leasing Department. Manages the key badge system. Creates new employee key holder in system, assigns keys, and records and tracks staff keys. Performs key audit. Performs document retention and central record keeping for items including transfer log, lease signing paperwork, MTW and biennial packets, and annual inventory of furniture, equipment, and vehicles with assistance from Maintenance Team. Performs other related duties as assigned.
