Description:

SUMMARY:

The Billing Specialist prepares client invoices for services provided.

Essential Functions:

  • Maintain high level of invoicing performance; through maximum daily amount not to exceed 5% of daily vision budget; exception of Month End or Quarter End.
  • Manage small team of invoicing support, balancing a load.
  • Maintain pending notice expiration files.
  • Training a new support person; eventually segregate invoice assistants to sit on each major team; when additional $100 growth is acquired.
  • Collaborate with corporate team and pull waiver copies, rebilling files as needed, and supporting any redirection as needed.
  • Handle opposing counsel communication, including copy orders, online repositories, communications regarding motions and waivers.
  • Determine appropriate charges for work performed utilizing structured rate tables and previous billing guidelines.
  • Transmit invoices to clients electronically or via mail.
  • Safeguard confidential medical records and complies with all local, state, and federal laws pertaining to medical records. Assures compliance with all HIPAA regulations concerning use, retrieval, storage, and sharing of medical records.

COMPETENCIES, SKILLS AND ABILITIES

  • Strong attention to details, efficient and highly organized.
  • Demonstrate a strong attitude with the ability to adjust to changing priorities.
  • Ability to read and understand vendor invoices.
  • Must have strong written and verbal communication.
  • General computer skills (Outlook, Word, Adobe Acrobat, Internet Explorer, and Windows)
  • Familiarity with subpoenas, written depositions and affidavits a plus.
  • Must be a positive team player and be able to communicate with team members.
  • Ability to multi-task is required.
  • Accept directions well.
  • Manage your time wisely.
  • Flexible schedule and availability to work occasional overtime as required.
  • Must be able to work with deadlines and work well under pressure.
  • Excellent attendance and punctuality is a must.
  • A certain degree of creativity and latitude is required.

EDUCATION / EXPERIENCE

  • High school diploma or equivalent required.
  • Adheres to compliance policies.
  • Constantly strives to achieve excellence in day-to-day operations of respective department.
  • Works collaboratively with all members of management to resolve departmental and organizational challenges expeditiously, economically, professionally and with minimum disruption to the practice.
  • Experience working in a multi-function, multi-geography environment preferred.

SUPERVISORY RESPONSIBILITIES:

The Billing Specialist has no supervisory responsibilities.

LANGUAGE SKILLS

Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
