JOB DESCRIPTION The Supervisor of Facilities Services is responsible for ensuring that all facilities services employees perform assigned functions in the servicing and repair of facilities and facility equipment including buildings, grounds, land, bus stops and shelters in an acceptable and timely manner. This individual provides direction and technical assistance to facility maintenance technicians and others including diagnosing problems and troubleshooting and ensures that all assigned facilities and property are properly cared for, cleaned, maintained, and/or repaired. The Supervisor Facilities Services interviews, trains, assigns, disciplines, and evaluates Facilities Services employees, as well as coordinates activities with the Manager of Facilities Services and other staff to ensure the continuity of workflow, the efficient and effective use of department staff, and the proper use and accounting of materials, parts, and supplies. The Supervisor of Facilities Services is responsible for the direct supervision of Facilities Services employees, and weekend Fleet Services personnel as directed. Accountabilities and Essential Functions[1]: Monitor, supervise and direct facilities services employees to facilitate thorough and efficient maintenance and repair of facilities and facility asset equipment. Provide oversight and decision-making related to facilities operations: Coordinate work requests and assign work according to priority and available resources; make necessary adjustments to employee work assignments and schedules as needed. Plan, supervise, and schedule workload and facilities services employees to accommodate planned and unplanned absences. Monitor and control overtime and training time to ensure adequate staffing. Monitor the workflow and performance of assigned employees. Recommend changes to department manager as needed. Regularly monitor facilities services employee appearance, reinforce performance expectations, give instructions, offer positive recognition for meeting or exceeding expectations, and coach to improve skills. Monitor and inspect the cleanliness and maintenance of AAATA facilities, grounds, bus stops and shelters to ensure compliance with AAATA and other regulatory standards. Recommend improvements, replacements, repairs and purchases of parts and tools; approve such as directed. Inspect work in progress and review work orders, parts requisitions and man-hour reports; assist facility maintenance technicians engaged in facility operations; receive and act on verbal and written reports from staff concerning facility defects and general performance. Oversee inventories of products, tools, maintenance parts, supplies etc. used by facilities employees. Prepare cost estimates on work orders and facility repairs. Assess repairs being performed and assure all warranty, if any, is being claimed. Supervise the installation of all new operating and facility equipment. Provide timely, reliable, and effective written reports and communications as required. Manage within the provisions of the union contract, PPM agreement, work rules, policies and procedures. Responsible for the coordination of work, vehicles and equipment with other supervisory and managerial staff: Work in coordination with the Safety Officer to investigate accidents and on-the-job injuries (OJIs) and assist in the completion of incident/injury reports. Work proactively and maintain positive relationships with administrative and union personnel. Provide back-up relief for Fleet Services supervisors as directed. Manage emergency and unusual situations. Attend and participate in Facilities Services department staff meetings. Communicate and coordinate activities with other departments as needed. Responsible for continuous effort to improve procedures, streamline work, and work cooperatively and jointly to provide quality customer service. Responsible for the training and evaluation of new employees, as well as ongoing training and performance evaluation: Train employees in the safe and efficient processes and use of applicable products and equipment. Follow and promote safe work practices; monitor and ensure employees adhere to AAATA and other regulatory operating and safety standard procedures, rules and regulations. Counsel and coach employees as needed. Take disciplinary action if performance violations warrant further consideration. Maintain service, quality and safety standards. Work a flexible schedule as needed outside of regular business hours, often in excess of 40 hours per week at times as needed to meet responsibilities. Respond to and make prompt, effective decisions on incoming emergency calls when the Manager of Facilities Services is not available.
