The Executive Administrator to the CEO provides administrative and operational support to the Chief Executive Officer, ensuring seamless execution of day-to-day responsibilities and thoughtful planning of longer-term initiatives. In this role, the incumbent serves as a critical link between the CEO and internal/external stakeholders and must consistently demonstrate a positive demeanor, show initiative, and maintain confidentiality.

The ideal candidate will be proactive, highly organized, and adaptable in a dynamic, fast-paced environment. Strong interpersonal and communication skills are essential, along with advanced administrative and technical proficiency and is looking for a long term partnership with the organization and CEO. Exceptional attention to detail—including expert-level proofreading—will be vital to the successful execution of this role.

Responsibilities:

  • Manage the CEO’s calendar for internal and external meetings and appointments, including Board meetings, public relations and executive team meetings.
  • The incumbent is responsible for setting a welcoming tone for the Executive Office through their collaboration and interactions with all stakeholders, including members of executive leadership, Board of Directors, staff, program participants, and community leaders.
  • Help prepare and ensure that necessary background materials are available to the CEO in advance of meetings.
  • Review and proofread all necessary proposals, minutes, emails, correspondence and other documents prepared for the CEO’s sign-off and/or signature.
  • Schedule meetings with internal and external stakeholders and act as the point person for collection and distribution of materials, attendance tracking, and follow-up.
  • Manage the Board and Board committee meeting process, including advance planning to have all materials available.
  • Prepare, edit, and organize all materials necessary for meetings (i.e., minutes, reports, presentations, Board Book, etc.) and ensure the CEO and other meeting participants have materials in a timely manner.
  • Partner with other members of the Goodwill team, including the Executive Team and the Philanthropy/Marketing team.
  • Handle travel arrangements, including booking flights, accommodation, and itineraries, when necessary.
  • Support special projects, other administrative processes and strategic initiatives as needed.


QUALIFICATION REQUIREMENTS:

  • Bachelor’s degree in a relevant field with minimum of five (5) years of professional experience in a comparable administrative or business support role is preferred. (An Associate’s degree plus two (2) additional years of comparable administrative support experience is an acceptable alternative.)
  • Prior experience providing support to senior executives (Vice President level or higher) is required; C-Suite support experience preferred.
  • Proven ability to support executives over a tenured period of time.
  • Excellent organizational skills with the ability to work effectively in a fast-paced environment with changing priorities
  • Demonstrated ability to handle multiple tasks simultaneously and set priorities as necessary.
  • Proven experience handling assignments that involve highly sensitive or confidential matters.
  • Demonstrated ability to interact effectively with contacts at all levels inside and outside the organization.
  • Strong interpersonal skills with the ability to build relationships easily and exercise discretion in all conversations.
  • Proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint. Ability and willingness to learn new software tools as the need arises.
  • High attention to detail; skilled in editing and proofreading.
  • Positive, professional demeanor a sense of humor is a must.
  • Position is on-site Monday Friday, with schedule flexibility as appropriate.
  • Requires acceptable results of all required background checks.
