Job Description: We are seeking a friendly and organized individual to join our team as a Part-Time Administrative Support/Receptionist. This role involves providing general administrative and clerical support, while ensuring a welcoming and professional environment for our patients, clients, and visitors. The ideal candidate will possess excellent communication skills, attention to detail, and a positive demeanor. This position offers flexible hours, working Monday through Friday from 8: 00 AM to 5: 00 PM, with every other weekend.
Key Responsibilities:
- Greet and welcome patients, clients, and visitors in a friendly, professional manner.
- Answer telephone calls, take messages, or forward calls as necessary.
- Check visitors in, direct or escort them to specific destinations.
- Inform employees of visitors' arrivals and cancellations.
- Maintain and monitor the visitor sign-in log.
- Handle incoming and outgoing mail efficiently.
- Schedule appointments and manage meeting room bookings.
- Maintain a tidy and organized reception area.
- Perform other duties as assigned by management.
Confidentiality and Compliance:
- Agree not to disclose resident's protected health information (PHI) and promptly report suspected or known violations to the Administrator.
- Maintain the confidentiality of all resident care information, including PHI.
- Report any known or suspected incidents of unauthorized disclosure of PHI.
Supervisory Responsibilities:
- This position does not have supervisory responsibilities.
Qualifications:
Education and Experience:
- High school diploma or GED required; previous administrative or receptionist experience is preferred.
Language Skills:
- Ability to read, analyze, and interpret general business materials, professional journals, and technical procedures.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from managers, employees, and clients.
Mathematical Skills:
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability:
- Ability to solve practical problems and handle a variety of concrete variables in situations with limited standardization.
- Ability to interpret instructions presented in various forms (written, oral, diagram, or schedule).
Certificates, Licenses, and Registrations:
- Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook), clerical functions, and multiline phone systems.
Physical Demands:
- Occasional lifting or moving up to 25 pounds.
- Prolonged use of a desktop or laptop computer.
- Regular sitting, standing, walking, talking, reading, and hearing.
- Frequent use of office equipment (copier, scanner, fax, telephone, calculator).
- No travel required.
