The Office Coordinator supports both day-to-day office administration and people operations, ensuring a smooth, welcoming, and well-organized workplace. This role blends administrative excellence and strong customer service with a variety of duties that greatly impact the organization. The ideal candidate is detail-oriented, proactive, and comfortable managing a wide range of responsibilities that keep the organization running effectively. Key Responsibilities Answer and route incoming phone calls with professionalism. Greet and assist visitors, ensuring a positive first impression. Support facility vendor activities by coordinating onsite visits and sending employee communications. Coordinate with vendors, contractors, and building management regarding repairs and office services. Maintain key fob access for employees and designated visitors. Audit access quarterly. Coordinate catering requests, including placing orders, communicating updates or issues to event hosts, and day of support activities. Assist in planning and supporting office events, meetings, and employee engagement activities. Process department expenses report accurately and in a timely manner. Order and maintain electronic filing systems. Conduct CTPAT checks for new hires and semi-annually and maintain related documentation. Order and maintain office supply inventory. Provide administrative support on general HR assignments and projects.
