Job Description
City of Greenfield is hiring a Administrative Assistant in Greenfield, IN. This is a full-time position.
Incumbent serves as Administrative Assistant for the Police Department, responsible for receiving non-emergency calls, maintaining various computer records, and maintaining various files and performing various clerical duties. Maintains various files, including but not limited to, accident reports, monthly Driving Under Influence (DUI) reports, OSHA Log Reporting, Parking Enforcement Ticket Log, Juvenile reporting to the State, Payroll processing and various other reports, including mailing to state as required. Processes claims, maintains budget spreadsheet, and maintains office and janitorial supplies. Take notes during meetings, handle sensitive information while keeping information confidential. Composes/types various correspondence as assigned, as well as updates Policy Manual for City Attorney and Clerk Treasure. Maintains postage supply and mails documents as required. Maintains work schedule for department personnel, including maintaining records of vacation, personal, and sick days, and overtime. Maintains department issued uniform and equipment records. Maintains records of driver's license and personal information for department vehicle insurance. Posts monies collected for/from various things such as gun permits, photographs, videos and submits to Clerk-Treasurer. Collect money from County Clerk for traffic tickets as needed. Submits Law Enforcement user fee claims to the Auditors Office. Serves as backup to the Records Clerk when needed. Enters, maintains, research, verifies and retrieves information for City and other law enforcement agencies as requested. Receives and transmits computer reports pertaining to, but not limited to, criminal histories, driver's licenses, vehicle registrations, protective orders, gun permits, runaways, wanted and missing persons, stolen property and vehicles. Makes travel arrangements and accommodations for department and assists with special events Performs related duties as assigned.
