Job Description Summary

The Leave of Absence Administrator is responsible for reviewing, coordinating and processing all activities for Family Medical Leave, Personal Leave, Military Leave, state and/or local Leave, ADA accommodations and Workers Compensation in partnership with our third party administrator for leave and absence management. This position provides advanced level HR leave of absence administration to managers and colleagues and acts as a subject matter expert to ensure compliance with state and federal leave of absence laws as well as Wintrust’s policies.

What You’ll Do

  • Serves as the primary contact for all Leave of Absence requests through phone interaction, email, and supporting HR team members and/or appropriate leader and employees themselves.
  • Manage the leave administration process from employees’ initial notice of the need for leave to the employee’s return to work.
  • Coordinate with HR Business Partners and managers regarding intermittent and reduced-schedule leave usage, opportunities for ADA or other accommodations, and communications with employees and managers.
  • Communicates with outside administrators regarding leave status; provides information regarding earnings to be used for disability payment calculations, updates vendor regarding any known status changes with leave, researches issues and discrepancies; consults with vendor as necessary regarding leave status.
  • Update and ensure HRIS and other system data is current related to leave records.
  • Coordinates use of paid leave (PTO, mandated paid leave when applicable) with employee and manager.
  • Preserve confidentiality of employee medical documentation and files.
  • Responsible for creating and maintaining process documentation.
  • Identify and implement process improvements and training sessions within the HR Service Center (MYHR) to help optimize LOA workflow and improve customer experience
  • Participate in both project, tasks, and department wide initiatives to implement process improvements and provide high quality service
  • Build and maintain relationships with employees, managers, and HR partners to ensure open line communications that support an effective partnership
  • Maintains strong knowledge of federal, state, and local leave laws.

Education and Experience

  • Minimum of two (2) years of progressive experience in leave of absence administration in a high volume work environment.
  • Broad HR knowledge of FMLA regulations, ADA, and other federal/state regulations
  • Bachelor’s degree in Human Resources or related field (or equivalent years of experience).
  • Excellent written, interpersonal communication and telephone skills.
  • Strong organizational, multi-tasking, and prioritizing skills.
  • Working knowledge of relevant HR systems such as Workday.

Compensation

The estimated salary range for this role is $65, 000 - $80, 000, along with eligibility to earn an annual bonus. Actual salaries may vary based on several factors, such as a candidate’s qualifications, skills and experience.
