Description:

$21.63 - 24.88 /Hr.
Schedule: Monday - Friday; 8: 00 am - 4: 30 pm
Location: Rogers Park
Hybrid: 3 days in-office; 2 days remote
The Administrative Assistant will provide administrative and clerical support and financial service assistance to various clinical teams/programs. They will assist in setting up systems to manage sub-contractor relationships, create effective/efficient workflows, and track needed documentation and deadlines. The Administrative Assistant will manage effective communication between the clinical teams and administrative needs that ensures compliance while maintaining a professional working relationship.
Responsibilities:
  • Provide administrative and clerical support for clinical teams; i.e. documentation reminders, reporting of productivity numbers, calendar maintenance, faxing, etc.
  • Provide support to clinical leadership with program and team operations; i.e. attendance at team meetings, maintenance of contact lists, budget creation, completion of tracking forms and logs, etc.
  • Maintain tracking systems across the organization and sub-contracted agencies to ensure that all needed documentation is accounted for. Run needed reports and gather data for state reporting (e.g. Illinois Department of Human Services) from multiple agency providers and maintain deadlines for timely reporting.
  • Ensure client documentation from Trilogy and sub-contractors are received and scanned into appropriate systems.
  • Alert the clinical leadership team of lag times in reporting, state notifications/concerns, and needed communication on time-sensitive issues
  • Assist the Billing Department with submissions of case registrations for clients and submissions of Medicaid/MCO authorizations for clinical teams.
  • Assist with recognition announcements and planning of employee appreciation activities
  • Participate in meetings, committees, and work groups as needed.
  • Perform other related duties and/or projects as assigned


Qualifications:
  • Demonstrated work experience in an administrative, clerical, or office support capacity
  • Proficient in Microsoft Office suite products (Excel, Outlook, PowerPoint, Word). Advanced computer and database management skills.
  • Demonstrated ability to manage project timelines across multiple teams and organizations
  • Excellent customer service and communication skills to all teams, departments, and leadership. Ability to create and maintain positive working relationships with stakeholders at all levels.
  • Ability to be flexible and adaptable in a variety of situations
  • Excellent soft skills and organization skills.
