What You Will DoPosition Summary: This position performs various administrative and financial functions in support of the department and assists management in a prompt and efficient manner, all while maintaining a high level of accuracy.
- Area Administrator for the Savannah Area Natural Gas Pipeline Business Unit reporting directly to the Area Operations Manager.
- Coordinate monthly accrual, forecasting, and variance reporting on a rolled up division level basis for all O& M cost centers and capital projects.
- Facilitate the preparation of the operating and capital budgets to ensure the necessary materials, supplies, equipment, and personnel for operations support.
- Work with division and area management to optimize operational efficiencies, utilization of resources, and team-based management principles.
Essential Duties and Responsibilities: - Monitor and refine processes and procedures to more effectively utilize the skills and abilities of administrative support personnel.
- Coordinate/participate in the design and implementation of new administrative support mediums including documentation, databases, and facility utilization.
- Ensure that good relations are maintained with internal/external customers.
- Occasional, but infrequent overtime is anticipated and may be required.
- Prepare invoices with correct coding, review and enter into Ariba Accounts Payable system.
- Responsible for vendor setup and assisting with resolving vendor and invoice issues.
- Assist employees with reporting, coding, and approving Procurement Credit Card usage.
- Formulate cost estimates, create detailed cost worksheets and submit AFE requests.
- Generate contracts, prepare general service agreements, work directives and requests for services and materials.
- Schedule meetings and training for the Savannah area team
- Perform data entry for employee training records into Learning Management System.
- Maintain accuracy of vehicle fleet information in Holman Fleet system and monitor vehicle expenses in Wex system.
- Actively participate in safety programs and initiatives.
- Maintain electronic and hardcopy filing system for environmental records, projects, PHMSA documentation, etc.
- Generate requisitions and enter receiving reports within Lawson Procurement system.
- Enter and assist with employee expense reports in Concur Employee Expense system.
- Inventory management including issuing, transferring, receiving and auditing warehouse stock.
- Create and maintain databases and spreadsheets using Pivot tables and VLOOKUP files to improve budget tracking and forecasting.
- Conduct research, compile data and create statistical reports.
- Perform general office duties, such as ordering supplies, answering phone calls, assisting visitors, etc.
- Identify, report and correct safety and environmental concerns.
- Create a positive and professional office environment.
- Other duties as assigned.
What You NeedEducation- High school diploma
- Associates/Bachelor's Degree or equivalent (preferred)
Experience/Specific Knowledge: - Minimum 3 to 5 years hands-on experience working in an administrative capacity in a fast-paced office / professional environment
- Familiarity with budget development and cost tracking experience
- Familiarity with Lawson system is a plus
- Knowledge of PC operations and other related database applications
- Must be proficient in and have at least 3 to 5 years direct and active experience with MS Office applications (Outlook, Word, Excel and Power Point)
- Must possess and maintain a valid driver's license and be insurable by the company insurance carrier
Competencies/Skills/Abilities: - Intermediate to advanced proficiency level with Microsoft Office applications and database software including, but not limited to, Word, Excel, Outlook and PowerPoint.
- Demonstrated efficiency in writing and understanding verbal and written communications, including, but not limited to, e-mail
- Must be able to interact with a wide variety of people with tact, courtesy and professionalism including, but not limited to, other employees, all levels of management, vendors and customers
- Demonstrate ability to speak clearly, both in person and via telephone, using a high level of verbal skills and to listen carefully
- Accounting experience and good understanding of GAAP
- Must demonstrate excellent writing, oral, analytical and communication skills
- Must be able to successfully perform multiple tasks with strict and simultaneous deadlines
- Must be able to work with a team, take direction from supervisors, adhere to required work schedules, focus attention on details and follow work rules
- Must demonstrate ability to plan, organize and utilize project management skills
- Must be able to work independently and function with limited supervision at times
- Must be able to work autonomously as situation dictates
- Must be able to speak and understand English.
Physical Demands: - Must be able to lift and carry up to 25 pounds on an occasional basis
- Must be able to sit for prolonged periods of time
Working Conditions: - Must maintain regular, dependable attendance and a high level of job performance
- Must maintain a high regard for personal safety, the safety of company assets and employees and the general public
- May be required to work non-traditional hours as needed as well as overtime hours
