City of Port Wentworth is hiring a Administrative Assistant in Port Wentworth, GA. This is a full-time position.

Please only complete those questions if you are applying for a Public Safety Position) Administrative AssistantRecreation JOB SUMMARYThis position provides administrative and operational support for recreation programs, events, and activities. The employee assists the Director and Assistant Director in coordinating departmental functions and supporting daily operations. MAJOR DUTIES• Managing all facility rentals and supply needs.• Assists with the daily office work such as taking paperwork to city hall and filing.• Maintains inventory of recreation supplies.• Assists with ordering, sizing, issuing, and retrieving supplies, uniforms, and equipment.• Assists with meeting preparation and seasonal volunteer coach training activities.• Assists with the preparation and distribution of program and event advertising materials.• Assists with concession sales, inventory, and related preparation activities.• Processes daily registrations, deposits, and end-of-day transactions.• Obtains and compiles quotes and estimates as directed.• Performs other related duties as assigned. KNOWLEDGE REQUIRED BY THE POSITION• Knowledge of modern office practices, computer applications, online meeting platforms, and standard administrative procedures.• Knowledge of working a copy machine, land line skills and cell phone.• Knowledge of computers. Microsoft office, outlook, excel, word, power point or Canva.• Knowledge of departmental policies and procedures, sports regulations, and program requirements.• Skill in analyzing problems and developing and implementing effective solutions.• Skill in providing effective customer service and public relations. (Will work with vendors, volunteers, and the general public)• Knowledge of recreation program principles, practices, and operations. SUPERVISORY CONTROLS The employee works under the general direction of the Assistant Director and in coordination with the Director and Assistant Director. Work is reviewed through conferences, reports, observation, and evaluation of results achieved. GUIDELINESGuidelines include departmental policies and procedures and the City HR Manual. These guidelines are generally clear and specific; however, sound judgment and interpretation may be required in application. COMPLEXITY/SCOPE OF WORK• The purpose of this position is to provide administrative and operational support that contributes to an organized and efficient office environment and effective departmental operations.• This position supports a safe, well-maintained, attractive, and efficient environment for area residents and program and event participants.• Successful performance is demonstrated through effective service delivery, positive participant feedback, and productive working relationships with peers, volunteers, and residents of Port Wentworth.• Successful performance contributes to the delivery of quality recreational and life-enrichment programs for area residents of all ages.• Provides after-hours office or event support as needed. CONTACTS• Contacts are typically made to provide services, exchange information, resolve concerns, encourage cooperation, and support departmental objectives.• Contacts typically include City employees, maintenance staff, volunteers, co-workers, the Senior Center Director, GRPA representatives, and members of the Coastal Athletic Association Committee. PHYSICAL DEMANDS / WORK ENVIRONMENT• Work is typically performed while intermittently sitting, standing, stooping, bending, pushing, pulling, or crouching. The employee occasionally lifts light and heavy objects, climbs ladders, distinguishes between shades of color, and uses the sense of smell.• The work is typically performed in an office setting and outdoors, occasionally in cold or inclement weather. The employee may be exposed to dust, dirt, grease, and noise. SUPERVISORY AND MANAGEMENT RESPONSIBILTYThis position has no direct supervisory responsibilities unless otherwise assigned by the Director or Assistant Director. MINIMUM QUALIFICATIONS • Knowledge and competencies are typically acquired through completion of a high school diploma or GED equivalent, supplemented by office experience and experience in public relations or recreation environments.• Possession of, or ability to readily obtain, a valid Georgia driver's license appropriate for the type of vehicle or equipment operated.• Experience working in related positions.
