Westminster Services, Inc. is hiring a Group Purchasing Organization (GPO) Coordinator in Orlando, FL. This is a full-time position.

We are seeking to hire a GPO Coordinator who will be responsible for supporting the administration, implementation, and ongoing management of Group Purchasing Organization (GPO) contracts, vendor relationships, and program initiatives. This role serves as the primary operational liaison between Westminster Communities and GPO vendors, ensuring contract compliance, successful implementation of vendor deliverables, and effective communication with internal stakeholders. The GPO Coordinator monitors program performance, supports contract analysis, maintains Medical Supply formulary, and assists with strategic initiatives that drive operational efficiency, standardization, and cost savings across the organization.

ESSENTIAL POSITION FUNCTIONS

  1. Develop and maintain collaborative relationships with Value First GPO and contracted vendors to maximize contract compliance, program utilization, cost savings, and service excellence across Westminster Communities.
  2. Maintain and manage the approved medical supply formulary and ORBITS system to support healthcare operations while promoting product standardization, billing accuracy and cost-effective purchasing.
  3. Coordinate the implementation of GPO contracts and vendor programs in collaboration with internal departments and external suppliers.
  4. Monitor assigned GPO contract deliverables to ensure timely execution, compliance, incentive payments and achievement of established performance objectives.
  5. Build and maintain positive working relationships with vendors to support contract performance, issue resolution, and continuous improvement.
  6. Coordinate vendor implementation timelines, deliverables, product conversions, and system-wide rollouts.
  7. Collect, analyze, and report vendor performance metrics, utilization data, and program outcomes to evaluate contract effectiveness.
  8. Assist in the review and analysis of GPO contracts, pricing, utilization reports, and savings opportunities.
  9. Monitor contract expiration dates, implementation schedules, and vendor obligations to ensure timely completion of required activities.
  10. Communicate GPO initiatives, contract changes, product updates, and vendor information clearly through written correspondence, presentations, and verbal communication.
  11. Interpret contract terms, service agreements, pricing structures, and vendor performance expectations to supervisor.
  12. Lead vendor meetings, quarterly business reviews, and contract implementation projects by preparing agendas, documentation, and follow-up action items.
  13. Maintain accurate records, databases, contract documentation, and program files in accordance with organizational standards.
  14. Collaborate with Purchasing, Clinical Services, Dining Services, Finance, and Operations teams to support procurement initiatives and organizational objectives.
  15. Identify opportunities for process improvement, standardization, contract optimization, and increased utilization of GPO programs.
  16. Maintain confidentiality of proprietary business information, pricing agreements, and contract documentation.
  17. Perform other duties and special projects as assigned by Operations Leadership.

QUALIFICATIONS

  • Associate Degree in Business Administration or a related field preferred; equivalent work experience may be considered.
  • Five (5) years of experience in purchasing, supply chain, contract administration, vendor management, or a related field preferred.
  • Experience working with healthcare vendors, GPOs, or contract management systems is preferred.
  • Proficiency with Microsoft Office applications; advanced Excel skills are desirable.

  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to build collaborative relationships with internal stakeholders and external vendor partners.
  • Strong analytical and problem-solving skills with attention to detail.
  • Proficiency in managing RFP and RFQ processes.
  • Ability to interpret contracts, pricing schedules, and vendor agreements.
  • Knowledge of purchasing, supply chain, healthcare procurement, or GPO operations preferred.
  • Ability to work independently while managing multiple deadlines and projects.
  • Strong customer service orientation and professional demeanor.
