The Patient Access Specialist is responsible for onsite patient registration, insurance verification, appointment scheduling, and point-of-service collections. With occasional guidance, this role also helps resolve registration, billing, insurance, and payment-related inquiries while delivering outstanding customer service to patients and families.

Key Responsibilities
Patient Registration & Insurance Verification
- Obtain, verify, and update patient demographic information.
- Complete patient check-in and check-out processes accurately and efficiently.
- Distribute clinic-specific forms and required documentation.
- Verify guardianship information and obtain insurance cards.
- Verify insurance coverage and eligibility.
- Secure authorization and referral information as needed for each encounter.
- Create and maintain patient charts within the electronic health record (EHR) system.
Financial Responsibilities
- Collect copays, prepayments, and outstanding patient balances.
- Assist with registration, billing, insurance, and payment inquiries.
- Support revenue cycle activities while maintaining excellent customer service standards.
Scheduling & Documentation
- Schedule patient appointments according to departmental policies and procedures.
- Ensure required annual forms are complete, accurate, current, and maintained in accordance with organizational policies.
Administrative Support
- Sort and distribute mail, medical records, and other correspondence.
- Receive delivered equipment and documents.
- Maintain a clean, organized, and professional lobby and work area.
- Participate in staff meetings, educational sessions, and ongoing training.
- Take phone messages and provide administrative support as needed.
- Perform additional duties during downtime, including attaching claims to visits and working assigned work queues.
Qualifications
Required
- High School Diploma or equivalent.
- Specialized training beyond high school (1-2 years preferred).
- Minimum of 2-3 years of medical office experience.
Preferred
- Bilingual (English/Spanish).
- Experience with Epic electronic health record system.
