Nemours is seeking a Cardiac Center Surgical Schedule Coordinator, (Full-Time), to join our Nemours Children's Hospital team in Orlando, Florida.
The Cardiac Center Surgical Schedule Coordinator is responsible for advanced level scheduling of complex neonatal and pediatric cardiovascular patients for surgical procedures occurring the Cardiothoracic Operating Room, Cardiac Cath Lab, Electrophysiology Lab, the CICU bedside and for case coordination in the general operating room. Responsible for developing, implementing, analyzing and managing a system for the scheduling of applicable appointments and procedures in a manner which most efficiently utilizes available resources while accommodating the needs of patients, families, physicians, surgeons and proceduralists, and the anesthesiology service. Responsibilities include implementing and improving the system for scheduling of surgeries, procedures, Pre-and Post-Operative/Procedural follow up appointments, publishing and distributing the daily surgery schedule, reconciling surgical case requests to cases scheduled, analyzing data to ensure the OR suite, Surgeons, Anesthesiologists, OR Team, and other required resources are available for each case for the total duration of the procedure, producing reports and implementing scheduling system changes to improve process and avoid delay in care. This position must coordinate Complex schedules of multiple physicians and various resources in order to accurately schedule all cases and must continually improve scheduling and report efficiency in the Cardiac Center to ensure the Cardiac Center is functioning at its optimal level.
Performs all levels of scheduling from basic to complex. Lead duties may include but are not limited to:
- Scheduling complex appointments that require coordination of multiple resources to complete the scheduling of surgical procedures.
- Completes or receives schedule requests and schedules appropriate resources. Revises schedules as cancellations and/or additions occur and communicates with the appropriate staff.
- Edits, proofreads, and verifies information, collaborating with the physicians, surgeons, nursing staff and anesthesiology as appropriate.
- Communicate effectively regarding actual and potential schedule changes to same day or next day's schedule.
- Ensures proper patient flow through multiple appointments, prep and recovery allowing patient transportation.
- Schedule Pre -Operative procedure appointments to include but not limited to surgeons, Anesthesia clearance, laboratory tests, and radiologic exams.
- Schedule Post-Operative appointments based on physician/advanced practitioner direction.
- Distribute appropriate forms, education material to patients and provides scheduling and preparation details.
- Meet with patients in the clinic setting to coordinate patient surgery
- Coordinates and schedules Telehealth appointment for Cardiology and Cardiothoracic consults throughout Florida and the surrounding states
- Ensures all legal custody paperwork is available and scanned to the chart prior to each case and locates such paperwork if applicable when not available.
Evaluation of scheduling policies and procedures.
- Analyzes computer generated reports to identify variances and initiate corrective actions, when necessary.
- Develops and produces ad hoc reports as needed.
- Develop and implement methods to assure that all appointments are accurately recorded.
- Recommend changes in scheduling policies and procedures and implement approved changes.
- Implementation and improvement of the system for scheduling to coordinate resources with other Departments including staff and/or equipment.
Requirements - High School Diploma required.
- Minimum 3 years of experience required.
- Formal experience with coordination of pediatric cardiothoracic surgical cases preferred.
