Description:
The Supervisor Accounts Payable (AP) plays a critical role in driving the organization's accounts payable processes and team to ensure timely and accurate vendor payments, maintain strong relationships with suppliers, and maintain compliance with financial policies. This position is responsible for supervising the AP team, identifying and resolving vendor invoicing and payment issues, leading process improvement initiatives, and serving as a key partner to cross-functional departments. This is meant to be a guide. Duties may vary dependent upon management.)Essential Position Functions: - Oversee the Accounts Payable team and support the daily operations of the AP team, providing guidance, training, and feedback to ensure accuracy, efficiency, and adherence to policies.
- Mentor and coach AP team members, encouraging professional development and continuous improvement.
- Ensure timely, accurate processing of invoices and payments, prioritizing based on cash discounts and payment terms.
- Monitor and approve payment runs in collaboration with the AP Manager.
- Proactively identify issues, discrepancies, or process bottlenecks, and assist in analyzing root causes.
- Support the success of Medius (automated AP solution) by driving adoption, monitoring performance, and making recommendations for optimization.
- Collaborate with the AP Manager to evaluate and refine workflows, policies, and internal controls.
- Lead or participate in AP-related projects, including automation, technology enhancements, and efficiency initiatives.
- Reconcile vendor statements and aging reports, research, and correct discrepancies.
- Monitors vendor account balances and related financial activity.
- Track and reconcile advanced vendor payments (deposits) and other related accounts payable.
- Act as a key liaison with vendors, Procurement, Operations, and other departments to resolve complex invoice or payment discrepancies and maintain strong business relationships.

Education and/or Experience: - High school diploma or GED;
- 5+ years of progressive Accounts Payable experience, with at least 2+ years in a lead or supervisory capacity.
- Demonstrated ability to supervise, and mentor staff in a fast-paced, high-volume AP environment.
- Proven problem-solving and analytical skills, with experience in identifying process inefficiencies.
- Strong interpersonal and communication skills with the ability to interact effectively across all levels of the organization, as well as with external vendors.
- Intermediate to proficient in Microsoft Office (Excel, Word, Outlook).
- Thorough knowledge of accounts payable systems, ERP platforms, and internal controls.
- Excellent organizational and time-management skills with the ability to prioritize, delegate, and complete assignments accurately and on time.
- Ability to work independently and collaboratively in a team-oriented environment, maintaining a high level of professionalism, accuracy, and confidentiality.
- Must be able to read and communicate in English, for safe and effective performance of the job and business operations.
- Must be able to work alone, and with a team.
- Must be able to pass a drug screen and criminal background check.
