Seeking an associate to serve as the Administrative Support Specialist for the Growth and Business Development team, reporting to the Lead, Growth Initiatives. This role performs a variety of administrative and clerical tasks to support daily operations and is based in our Sarasota, Florida office and has required in-office hours Tuesday - Thursday with flexibility for remote hours on Monday and Friday.
This role provides daily support for all departments reporting to the Chief Growth and Business Development Officer, including:
What you will do here:
Mail Room Processes and Operations: Daily sorting of all incoming mail
Daily management, scanning, and tracking of IRS Notices & Real Estate mail following defined Standard Operating Procedures:
- 8821 Disclosures (Tax Resolution Department & Field Notices)
- 2848 IRS Power of Attorney Notices for the Jackson Hewitt Tax Resolution Department
- Provide outgoing mail services as needed for the Tax Resolution Department
- Scan and Mail Real Estate Lease Administration Documents to the Jackson Hewitt 3rd Party Lease Administration vendor
General Clerical Functions: - Performs various clerical tasks including maintaining physical and electronic records and documents in required formats.
- Performs and tracks billing for Tax Resolution following Standard Operating Procedures (SOPs)
- Support the Lead, Growth Initiatives with meeting & conference logistics
- Perform as assigned, general support for projects for all departments reporting under the Chief Growth and Business Development Officer.
- Perform as assigned, general office support assistance as needed
Skills you will bring for success: - 3+ years' experience working in an administrative support role within a professional environment is preferred
- Proficient with Microsoft Word, Excel PowerPoint, Teams, and Outlook
- Exceptional written and verbal communication skills
- Ability to complete repetitive functions with accuracy
- Outgoing individual with a positive attitude, highly motivated, organized, detail oriented
