The Trade Coordinator will provide administrative and operational support to the Service Team, ensuring efficient management of trade-related tasks, project tracking, and team coordination. This role involves handling day-to-day administrative activities, supporting scheduling efforts, and assisting in the preparation and distribution of critical reports. The ideal candidate is detail-oriented, organized, and proactive in facilitating smooth operations within the service department.

Essential Duties and Responsibilities:

Administrative Support:

  • Review, process, and maintain accurate records of IPQA forms.
  • Organize and order general office supplies to ensure the smooth functioning of the office.
  • Organize and prepare for routine and periodic meetings, including reserving meeting rooms, preparing documents, inviting attendees, and arranging meals.

Operational Coordination:

  • Assist Trade Managers in reviewing and verifying project time punches and man-loading for accuracy.
  • Coordinate with the Scheduling Team to update and maintain Trade schedules as needed.
  • Facilitate the Daily Action Plan meeting, ensuring agenda items are addressed and documented.
  • Support Trade Managers with assigning teammate tasks in the TMAP system.

Reporting and Communication:

  • Prepare and distribute service-related reports to stakeholders as needed.
  • Maintain and manage communication with Trade Managers and other teams to ensure timely completion of tasks.

Safety and Environmental Responsibilities

  • Follow SHM Safety and Environmental rules and complete required related training
  • Wear proper personal protective equipment (may include safety glasses, gloves, life jackets and/or hard hats) as required for the task or work area
  • Report all accidents, injuries, spills and near misses immediately
