GENERAL DESCRIPTION
Under the general direction of the Business Office Manager (Maintenance), the Work Control Coordinator supports the work control process and manages database functions within the Maintenance department. The Work Control Coordinator performs various complex administrative and clerical duties, including composing reports related to work orders and preventive maintenance history, scheduling meetings, and managing confidential records. Additionally, the coordinator provides training to users of the work control program and ensures the accuracy and timeliness of work control processes while assisting with departmental activities and communications.
COMPENSATION: $19.96 - $25.05 based on experience
FLSA STATUS: NON-EXEMPT - This position may be required to work non-standard hours.
ESSENTIAL FUNCTIONS
· Performs database management functions for work order software applications to ensure accurate and efficient tracking of maintenance activities.
· Composes detailed reports, including work order history, preventive maintenance (PM) history, trade summaries, and employee project hours for managerial approval.
· Schedules, coordinates, and prepares materials for meetings, appointments, and conferences for the divisional manager or senior divisional manager.
· Researches and responds to requests for information and assistance, determining priority status and referring inquiries as necessary.
· Provides training to users of the work control program, ensuring they understand the system's functionalities and best practices.
· Monitors and tracks the progress of work orders to ensure timely completion and adherence to maintenance standards.
· Adhere to all safety protocols and regulations while performing tasks to ensure a safe working environment, including proper use of personal protective equipment (PPE) and reporting potential hazards.
· Regular and reliable attendance is required as an essential function of the position.

REQUIRED FOR ALL HCAA JOBS
In the event of an emergency or disaster that impacts the Hillsborough County Aviation Authority (HCAA), an employee may be required to respond promptly to duties and responsibilities as assigned by the employee’s department or the HCAA Emergency Operations Center (EOC). Such assignments may be before, during, or after the emergency/disaster.
Complies with all HCAA Policies, Procedures, and Standards.
QUALIFICATIONS (EDUCATION, EXPERIENCE, LICENSES & CERTIFICATIONS)
· High School Diploma or equivalent.
· Two (2) years experience in an administrative or clerical role.
· Or equivalent combination of education, training, and experience.
· Must possess a valid Florida Driver License.
KNOWLEDGE, SKILLS, AND ABILITIES
· Knowledge of database management principles and practices.
· Knowledge of maintenance department procedures, policies, and rules to ensure compliance and operational effectiveness.
· Ability to communicate effectively orally and in writing.
· Ability to establish and maintain effective working relationships with others within and outside the Authority.
· Ability to handle restricted, sensitive, and confidential information.
· Ability to provide outstanding customer service, serve the public, and represent the Authority with courtesy and professionalism.
PHYSICAL ABILITIES
· Constant Standing, walking & sitting.
· Occasionally lifting up to 60 Ibs or more.
· Frequent bending, stooping & reaching overhead.
· Occasional pushing, pulling, dragging, kneeling & crawling.
· Occasional climbing.
· Occasional exposure to extreme weather.
· Occasional use of car/ light truck.
