The Executive Assistant & Marketing Coordinator provides administrative support and project assistance for the Chief Marketing Officer. This position ensures that the administrative functions of the department or project(s) assigned are effectively carried out. This will include managing calendars, screening calls, letters and e-mail correspondence, optimizing executive time management, administrative research, and marketing production. This may include coordinating statement messaging and inserts, print and mailing campaigns, vendor management, investment deliverables, and Workfront support.

Essential Functions for this role include:

  • Maintain Senior Vice President’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel, including submitting travel and other expense reimbursement requests. Notify attendees and make necessary arrangements. Coordinate team meetings (Town Hall, Leadership Team, etc.) including invitations, content collection, meeting, survey, follow-up, etc.
  • Provide administrative and production support for the Department, as requested. Type, copy, route mail, and coordinate with other staff to ensure smooth implementation of activities.
  • On a quarterly basis, collaborate with marketing to collect statement messages from SMEs and submit to statement team. Identify list of any existing or new statement inserts from SMEs, establish print quantities of inserts for vendors, and distribute information to statement team.
  • On a quarterly basis, conduct minor updates in investment materials, coordinate proofing and compliance review, and distribute to final users.
  • Coordinate print & mail jobs with vendors – request mail files from ad-hoc team, order envelopes, prep mail files based upon vendor specs, coordinate mailings with print vendors, and report statistics as needed. Support CSH for print materials at SS& C.
  • Support Marketing Department with project workflow through the Workfront system.
  • Other duties as assigned

If you have the following skills, we encourage you to apply:

  • 5+ years of executive administrative support experience at very senior organization levels and detail-oriented project management for routine processes.

  • BA/BS or equivalent experience preferred
  • Ability to maintain strict confidentiality and represent company at highest level. Requires discretion, judgment, tact and poise with a high level of professionalism.
  • Excellent grammar and language skills, accurate spelling and proofing skills and the ability to complete complex mathematic computations.
  • Strong analytical skills and a high level of attention to detail and accuracy with complex information.
  • Experienced in project or process management role.
  • Ability to use advanced word processing and spreadsheet proficiency (Access, Microsoft Word, Excel and PowerPoint).
  • Ability to interact with cross-functional teams.
  • Strong analytical skills.
  • Ability to work independently with minimal supervision, handle multiple diverse tasks, and adapt quickly to changing priorities.
  • Ability to work effectively in an often deadline driven environment with competing priorities, including supporting more than one senior manager.
