Title: Hurricane Helene Recovery Senior Agreement Coordinator

Starting Salary Range: The starting salary range for this position will be in the $23.37-$24.07 per hour range, depending on experience, education, and skills relevant to the position. Please note that the indicated starting salary range describes the range for an incumbent in this position. Most new staff generally start at the beginning of the range percentile to ensure internal salary equity.

Location: Fully remote eligible within the contiguous United States only. Remote location negotiable, preference for proximity to Eastern Program Office (VA, NC, TN)

Status: Full-Time, Non-/Exempt

Position Summary:
The Senior Agreement Coordinator oversees the administration of the agreement, overall tracking of deliverables and budget management, and performance reporting processes for Conservation Legacy’s eastern programs: Conservation Corps North Carolina, Southeast Conservation Corps, and Appalachian Conservation Corps, and will likely cross train to help support other programs at Conservation Legacy as part of the grants and agreement function of the organization. This position has a tactical focus, supporting and driving the completion of critical projects and workflows while providing support to individual programs and Conservation Legacy support staff. This position also oversees and supports workflows and processes that gather vital information to inform decision making, prioritization, reporting, and compliance. The position will ensure accurate data entry, with supporting documents, are stored successfully in the organization’s database while ensuring performance and financial reports are submitted in compliance with established deadlines.
Outcomes & Functions of Position:
Agreement Compliance Management
  • Responsible for agreement compliance and data accuracy, invoicing, budget management, reporting, and tracking.
  • Monitor agreement funding levels, identify causes for discrepancy, and coordinate with responsible staff or external parties to resolve issues.
  • Track and complete invoicing for crews, individual placements and reimbursable expenses across three programs in Salesforce database, ensuring all data is updated and accurate prior to submission for approval.
  • Coordinate, complete, and submit reporting as stipulated in agreement and ensure timely submission. This includes performance, compliance, demographics, and other reporting as identified by the agreement.
Data Integrity and Administrative Responsibilities
  • Develop a strong understanding of the Salesforce database including the ability to create reports and dashboards. Participate in conversations to improve system functionality.
  • Ensure accuracy of information, track trends, and advise Finance Team and Program Leadership of findings, gaps and/or concerns.
  • Answer basic questions from staff or external partners in relation to required recordkeeping through high-quality customer service.
Program Support
  • Ensure project accomplishments and data are documented and submitted in a timely manner with each Corps.
  • Act as a resource and trainer for agreement related administrative tasks to ensure accuracy and efficiency including credit card reconciliation, program communication, and expense coding.
  • Support Executive Directors to develop cost tracking and reimbursement procedures and train/monitor program staff to ensure agreement compliance, proper invoicing procedures, and overall agreement budget tracking

Organizational Advocacy

  • Successfully engages, leads and supports a positive work environment for all within the organization and the communities we serve.
  • Leads and/or participates in organizational-wide teams, projects and initiatives that support the work of the Strategic Plans goals.
  • Reports any potential complaints within the organization as identified in the Personnel Policy Manual.
  • Assists or leads other responsibilities, as assigned.

Qualifications:

  • Minimum of 2 years of experience in business administration, agreements or contracts management and invoicing.
  • Experience with federal grants and agreements.
  • Proven experience managing complex databases.
  • Demonstrated ability to juggle multiple priorities and deadlines.
  • Ability to operate Microsoft Office programs and applications, or similar platforms.
  • Proficient in an array of business systems and software, databases, other technology.
  • Ability to communicate effectively with staff at all levels in an organization, including with executive leadership.
  • Ability to identify and communicate administrative concerns or system integrity issues.
  • Flexibility, adaptability, and capacity to work in a fluid, changing work environment.
  • Ability to keep others and oneself, in remote locations, accountable to expectations.
  • Must be able to pass the organization’s criminal history check requirements.
  • Valid Driver’s License and Insurable Driving Record per Personnel Policies.

Preferred Qualifications:

  • Five or more years of compliance experience.
  • End user administrative experience in Salesforce strongly preferred.
  • Previous experience with a Corps or youth serving organization.
  • Experience with Survey 1, 2, 3 or other ArcGIS products or data collection and submission.
  • Bachelor’s degree in finance, accounting, and/or business/nonprofit.
