Description:
Under general supervision, the Administrative Technician is the first point of contact for visitors at City Hall and is responsible for providing customer service, processing utility payments, and performing various administrative and clerical duties to support City operations.
TYPICAL QUALIFICATIONS: - Effective written and verbal communication skills.
- Demonstrated interpersonal skills including the ability to resolve problems and provide information to the public and internal staff in a responsive and courteous manner and to develop and maintain effective working relationships at all levels of the organization.
- Knowledge of office methods, procedures, and practices.
- Proficiency in office software and ability to obtain proficiency in new software applications.
- Attention to detail.
- Ability to manage time and duties effectively with limited oversight.
- Ability to perform routine and non-routine clerical duties, operate standard office machines, prepare reports, and perform accurate mathematical calculations.
TRAINING: High School Diploma or equivalent required, with additional education at the college level preferred.
EXPERIENCE: One (1) to three (3) years general administrative and customer service experience required; or any equivalent combination of training and experience that provides evidence that the applicant possesses the required knowledge, skills and abilities to perform the essential functions of the job. Experience in local government, public works, utilities, or construction is desired.
ESSENTIAL FUNCTIONS: The following duties are illustrative only and are not intended to be all inclusive:
Serves as primary point of contact for customer inquiries and requests for service, including but not limited to:
- Providing exceptional customer service at the front counter of City Hall, including working effectively with customers experiencing difficult or stressful situations.
- Maintains knowledge of City operations, programs, policies, and procedures to support efficient and timely issue resolution. Researches unfamiliar situations and provides manager with recommended policy and procedure interpretations to support issue resolution.
- Documents resolutions as required to build a knowledge base to enhance customer service.
- Communicates issues to relevant staff in a clear, timely, and efficient manner.
- Monitors status of issue resolution and escalates as necessary to meet customer service standards. Keeps manager informed of issues and potential escalation
- Prepares reports and analysis as required.
- Coordinates with outside agencies and other departments as needed to resolve customer issues.
Administers assigned programs and processes, including but not limited to:
- Makes recommendations regarding proactive communication about programs and processes. May prepare materials including forms, messaging, and website content.
- Maintains knowledge of programs and processes and responds to customer inquiries.
- Reviews submitted materials for completeness and for accuracy of administrative and financial components.
- Administers associated software, spreadsheets, databases and other systems and suggests enhancements as applicable.
- Routes materials to technical or other relevant staff in a timely and efficient manner.
- Performs analysis and reporting to support identification and resolution of issues.
- Recommends process improvements.
Provides general administrative and financial support to division, department, and the City organization, including but not limited to:
- Performs administrative and clerical work including data entry, reception, cashiering, filing, scheduling, printing, copying, mailing, routine purchasing, preparation of notes and minutes, and similar tasks.
- Processes routine and recurring financial transactions, including reviewing for accuracy and compliance with policies and procedures.
- Prepares routine correspondence and documentation.
- Coordinates with Communications Department to ensure consistent department and citywide communications.
- May perform duties of related positions in their absence.
- Perform related work as required and assigned.
