Shingle Springs Band of Miwok Indians is hiring a Manager, Administrative in Placerville, CA. This is a full-time position.
POSITION SUMMARY As the Administrative Manager, you will be responsible for the overall supervision of the Tribal Administration Receptionists, as well as any other department (or employee) the Tribal Administrator deems fit. This position is responsible for the day-to-day scheduling of the Administration building: including classrooms, boardrooms, and meeting rooms, as well as ensuring clear communication between departments and leadership involved. Composes, types, and edits correspondence and memoranda using a variety of office and word processing equipment; routes and answers routine correspondence requiring attention of department leadership. Receives and screens telephone calls, letters and/or visitors; acts as gatekeeper for department leadership by personally handling problems, questions and complaints from employees or citizens of a less technical nature; answers routine questions and furnishes information whenever possible and efficient. May aide in managing and coordinating administrative programs and office activities. The Administrative Manager is responsible for serving Tribal members, guests, and employees with consistent and exceptional customer service and assistance. ESSENTIAL FUNCTIONS Support Tribal Administration departments (including Fleet Services, Executive Administrators, the Special Projects Department, the Tribal Administrator, and the Chairperson) in all areas needed.Oversee and manage the scheduling of meetings and meeting rooms within the Administration building and other outside buildings, when necessary.Communicate with individuals, employees, I.T. and Facilities for meeting room set-up/ and clean/up.Train, assess, supervise, and provide support to Tribal Administration Receptionists and any other department (or employee) that the Tribal Administrator deems fit.Support the day-to-day operations of the Administrative Department and staff members.Train and evaluate Administrative Support employees when necessaryDevelop, review, and improve administrative systems, policies, and procedures.Ensure the office is stocked with all necessary supplies and that all equipment is working/property maintained. Plan, schedule, and promote office events, including meetings, conferences, interviews, orientations, and training sessions. Collect, organize, and store information using computers and filing systems. Oversee special projects (collaborating with different departments when necessary) and track progress toward company goals.Build and expand upon skills by engaging in educational opportunities.Assess Administrative staff performance, in collaboration with their supervisor, and provide coaching and guidance to ensure maximum efficiency. Ensure the smooth, adequate flow of information within the company to facilitate other business operations. Manage various schedules and a master calendar.Organize and supervises other office activities such as recycling, renovations, etc. Provide standard clerical duties as assigned, including faxing, copying, mailing, and communicating with clients. Provide assistance in filtering and forwarding communications to proper individuals and departments. Create written and typed reports, including memos and business letters.Assist in organizing small to large scale events and provide ongoing assistance during such events.Maintain a positive relationship with tribal members, guests, and employees.Ensure that all Tribal Members and employees are consistently treated with respect and dignity.Perform other related duties as assigned. MINIMUM QUALIFICATIONS Must possess a high school diploma or GED.Must have a valid CA Drivers License and be insurable through the Tribes car insurance.Ability to foster and maintain a positive relationship with tribal members, employees and guests.Ability to effectively communicate in one-on-one, small group, or large group settings.Strong organizational and interpersonal skills are required. PREFERRED QUALIFICATIONS 1. 1-2 years working with Tribal members is preferred. 2. 1-2 years of Administrative experience is preferred. DRUG SCREEN Shingle Springs Band of Miwok Indians requires the successful completion of a drug screening of all potential Tribal employees prior to being hired. The Tribe recognizes that the State of California has legalized the use of marijuana. The Tribe is located on federally owned trust land and complies with federal laws. Therefore, marijuana use is prohibited, and all drug tests will include a screening for THC. Shingle Springs Band of Miwok Indians recognizes a zero-tolerance drug and alcohol policy, and employees will be required to sign a Consent to Drug and/or Alcohol Testing. Employees may be selected for alcohol / drug testing upon reasonable suspicion, and upon any/all accidents. BACKGROUND CHECK Candidates for this position will be subject to criminal and character background checks and fingerprinting prior to being hired. Verification of previous employment and education will also be conducted after the interview if an offer of employment is being considered. NATIVE PREFERENCE Preference in hiring is given to either the most qualified applicant or a Native American candidate who meets the minimum qualifications. When two (2) or more Native American candidates have comparable qualifications, the following order of preference shall apply: (1) Members of Shingle Springs Band of Miwok Indians; (2) Spouses or domestic partners (certified through Tribal Court) of members of Shingle Springs Band of Miwok Indians; (3) Parents of children of the Shingle Springs Band of Miwok Indians; (4) All other documented Native Americans; (5) All other applicants in accordance with Title 25, U.S. Code, Section 472 and 473. Applicants claiming Native preference must submit verification of Indian eligibility.
