Santa Cruz Seaside Company is hiring a Banquet & Events Operations Manager in Santa Cruz, CA. This is a full-time position.
Job Summary Under general direction, oversees execution of all contracted banquets, liquor, bar & events. Leads, motivates, and coordinates the events team to provide clients with first-class event experiences. Works with Sales team and Head Chef to ensure that clients expectations are met. Controls the budget, quality of services, preparation of event venues, and the service of meals. Ensures the quality and maintenance of the event facilities and equipment. Looks at upcoming events to forecast staffing needs and works with Food Services and Human Resources to maintain adequate staffing. Unique Job Requirements This position requires excellent organizational and interpersonal skills, ability to serve as a team leader, to communicate clearly, resolve conflicts and difficult situations, and manage expenses. Must be a team-oriented manager who can coordinate operations between departments in a fast-paced work environment. Must be able to provide consistent, friendly, and helpful service to Team Members and clients. Able to work varied work schedule, 7 days a week, including evenings, weekends, and holidays as early as 5: 00 am to as late as 3: 00 am. Must be flexible, able to work on multiple tasks and follow-up on a variety of details to assure successful events. Must obtain regulatory certifications; CA Food Handler card within 30 days, Servsafe Manager certification within 6 months and Responsible Beverage Service (RBS) within 60 days of hire. This role receives an annual Leadership Bonus in accordance with SCSC Leadership Bonus Plan. This role is eligible and has the potential to receive 7% of annual salary based on metrics outlined in a Plan Document which will be presented to the selected hire. The Company reserves the right, in its sole discretion, to continue, amend, modify, or terminate the Plan at any time. Job Tasks Ensure that banquets and events are coordinated and executed to the highest level of professionalism. Event types include group picnics (Beach Parties), grad events, school dances, conferences, banquets, trade shows, attraction rentals, in-house catering, etc. Read and execute events based on Event Planner documents (BEOs). Liaison between sales department, chef/kitchen manager and event management team to ensure that the clients expectations are met. Manage, supervise, train, evaluate, schedule, and motivate event and facility service staff. Maintain adequate core event staffing levels to meet needs, including retaining staff. Interface with the Food Service Park managers to receive and share staff to support each area. Ensure the quality and maintenance of the event facilities and equipment is solid. Submit work requests or place supply orders as needed. Assist in placing food/supplies orders based on event volumes and needs in the absence of Chef or kitchen supervisor as needed. Maintain updated policies and procedures for event management team. Maintain and control labor cost and cost of goods by smart scheduling and inventory/waste management. Ensure safety of clients and staff by watching for potential safety hazards including intoxication during an event. Coordinate operational execution plan for all events. Assure that each event maximizes the capabilities of the facility and the staffing to meet quality standards and client needs. Assist in overseeing the in-house food production to support the park food service outlets. Review job descriptions, set performance goals and conduct performance reviews for Banquet & Event Assistant Manager, Supervisors, and staff. Schedule and attend regular Events team meetings. Prepare event summaries, evaluate to ensure operational standards are met. Other duties as assigned Relationships (Internal) All levels of Santa Cruz Seaside Company Team Members and Concessionaires. Relationships (External) Guests and Vendors Qualifications: Training and Experience Five years of experience managing staff planning large group events including Banquets, Conferences, Receptions and unique and special events, such as promotions and concerts. Knowledge, Skills and Abilities Knowledge of banquet, conference, trade show, and meeting set-ups. Knowledge of training, evaluating, supporting, and motivating staff. Knowledge of Food service catering and food safety (HACCP) standards. Knowledge of liquor laws, labor laws and safety requirements. Ability to work as an effective team leader and hire, train, motivate and evaluate the work of staff. Strong customer service skills and ability to assure that the client needs are met, that conflicts that arise are solved tactfully and effectively. Ability to communicate clearly and concisely both verbally and in writing with coworkers, clients and other departments. Ability to use a computer to input and access databases and calendars and produce correspondence and reports. Ability to analyze the policies and procedures and make recommendations to reduce costs or improve the quality of events. Ability to maintain a professional appearance. Ability to obtain CA Food Handler card within 30 days and Servsafe Managers certification within 6 months of hire. Physical Requirements Ability to stand, walk, and climb stairs for extended periods, up to 8-12 hours during event operations. Ability to walk throughout multiple event venues and operational areas of the property. Ability to bend, kneel, crouch, reach, stretch, twist, and perform other physical movements necessary to inspect facilities and assist with event operations. Ability to lift, carry, move, and transport event-related supplies and equipment. Ability to move and place equipment weighing up to 35 pounds repeatedly and up to 50 pounds with assistance. Ability to push and pull carts, tables, chairs, staging, and other event equipment. Ability to work indoors and outdoors in varying weather conditions. Ability to hear normal conversations in person, by telephone, and over two-way radio communications. Ability to see, read, prepare, and review event planners, contracts, reports, correspondence, and other documents. Ability to maintain awareness of event operations, crowd activity, and potential safety concerns in a fast-paced environment. Ability to work in environments with varying noise levels, including concerts, dances, and large-scale special events. Bi-manual dexterity sufficient to operate computers, mobile devices, radios, and other office and event equipment. Licenses / Insurance Possess and maintain a valid California U.S. Driver's License at the time of hire. Required to maintain automobile liability coverage with a minimum of $15, 000.00 bodily injury one person/$30, 000.00 bodily injury total accident/$5, 000.00 property damage coverage per Californias minimum liability insurance requirements.
