Department: Outpatient Infusion
Works under the supervision of the Outpatient Infusion Nurse Manager/Director of Critical Care. Must be able to demonstrate the knowledge and skill necessary to provide care appropriate to the patient served in the department and process patients from intake through discharge. This position is directly responsible for all facets of obtaining pertinent information such as patient demographics, financial and insurance data, registration, payment posting, co-pay payment, deductibles and other collection for the OP Infusion Center. Performs routine clerical and data entry functions not limited to scheduling, patient registration, answering telephones, data collection, or word processing.
- Performs any combination of the following duties depending on the area of assignment:
- Interviews patients to obtain accurate demographic information and register patients.
- Obtains patient's financial information, required pre-certification and/or authorization from Primary Care Physicians or companies, and accurately enters data in computer for registration and billing process.
- Accurately and consistently informs patient of insurance coverage policy for co-pays, minimum due at the time of service and non-covered charges.
- Determines patient's primary and secondary insurance, enters correct insurance mnemonic information to bill insurance companies correctly. Obtains required signatures and collects copies of insurance cards, has patient sign appropriate waivers, or an authorization for treatment. Reviews patient admission information for discrepancies or missing data in order to correct or obtain data for registration and billing. Contacts companies for workers' compensation and/or exam authorization as required.
- Retrieves, initiates and/or prepares paperwork/reports; accurately processes paperwork for each registered patient's medical records.
- Consistently and accurately obtains and prepares forms and other documents needed for patient history, tests, exams procedures and/or communications.
- Reviews chart for test, procedures, supplies, medications, etc., and physician's notes enters all charges for discharged patients upon discharge, collects co-pays, and amounts due at the time of service and accurately enters payments into the computer and prints receipt.
- Obtains and accurately completes schedule with complete patient and test/procedure information.
- Schedule inpatient/outpatient procedures.
- Schedules procedure via telephone or in person in a courteous and professional manner. Work collaboratively with referring physician office.
- Obtain and/or ensures authorization is in place and written order from appropriate physician. Ensure written order is complete with diagnosis, treatment regimen and physician signature. For new treatments for chemotherapy consent is obtained and completed.
- Schedules appropriately with respect to timeframe, chair availability, and logistics. Reschedules/adjusts schedule as needed in order to provide quality care.
- Responds to Sharepoint requests within 15 minutes. Enters appropriate information into the computer system to register and/or discharge patients.
- Pre/Registers patient in Meditech.
- Welcomes and respectfully greets patient upon arrival of appointment using AIDETS. Obtains/updates accurate demographic information and updates EMR appropriately. Scans current personal ID and insurance card(s). Scans valid written order into EMR. Performs e-sign and ensures COA and Facesheet transfers to Notes. Acquires/scans other patient records (Med. Rec., H& P-Cath procedures) into EMR.
- Prepares department daily schedule up to 48 hours in advance.
- Distributes daily schedule to staff as needed.
- Distributes updated schedule to Nursing as needed.
- Confirms appointments via telephone up to 48 hours of appointment.
- Confirms written orders are accurate, requests update as needed and files.
- If required, confirms authorization is accurate, requests update as needed and files.
- Maintains waiting area-refreshments, snacks etc.
- Works collaboratively with nursing staff.
- Provides patient with general procedure information/instructions, refers to clinical RN staff appropriately.
- Maintains CWS/Outlook schedules/Calendars. Ensures patient procedures are on appropriate schedules. Schedules meetings/appointments as appropriately assigned. Schedules other time blocks pertinent to department flow. (Holidays, PM's)
- Consistently shows initiative during slow times to conduct general office procedures, filing of charts and forms, computer data entry, and receptionist duties, other duties as assigned.
- Accurately follows Hospital protocols and completes instructions in a timely manner. Initials off each completed task as directed.
- Maintains courteous, professional environment to initiate quality care to patient/family and exercises professional and public relations skills.
- Routes completed forms and/or information according to protocol to companies and/or patients. Accurately follows OP Infusion/Hospital protocols and completes instructions in a timely manner. Initials off each completed task as directed.
- Answers phone by the second ring. Takes and delivers accurate messages when necessary. Messages must be legible, signed, dated, and delivered as soon as possible.
- Collaborates and ensures pharmacy within the infusion center has appropriate orders etc.
- If appropriate, provides clinical staff with feedback regarding the patient's ability to ambulate.
- Assumes active role in continuous quality improvement processes.
- Uses appropriate communication and teamwork skills when working with patients and staff.
- Supports and promotes a positive inter-departmental work environment.
- Assists and performs routine environmental services tasks.
- Performs other duties as assigned.
Education: High school diploma or GED.
Licensure: Current BLS/Healthcare Provider status as per American Heart Association standards. New hires and transfers have up to 6 months from date of hire/transfer to obtain BLS/Healthcare Provider certification and must remain continually current.
Experience: One (1) to two (2) years of recent clerical/scheduling experience in clinic setting is required. Medical terminology is strongly preferred.
Pay Range: The hourly rate for this position is $32.76 - $36.12 The range displayed on this job posting reflects the target for new hire salaries for this position.
Shift Differentials: Hourly Evening Shift Differential: $2.00
Hourly Night Shift Differential: $4.00
