This position requires a service-oriented individual who thrives in independent and team settings, with the ability to create and track forms and spreadsheets. The Events Support Specialist will work under the direction of the Director of Marketing and Communications, working closely with our marketing event coordinator. The purpose of this role is to support event planning, delivery systems and processes that create welcoming and accessible in-person and virtual event experiences. This individual will assist with year-round in-person events, virtual events at the Medical Center and in the community, which are scheduled on weekdays, evenings and weekends. The event support specialist must maintain a positive attitude and communicate effectively in what can be fast-paced and high-demand event situations.
  • Build registration forms and monitor registrations, ensuring accurate translation of information between our event registration systems (Wufoo) and our customer relationship management (Eloqua).
  • Draft, schedule, and monitor event communications sent to registrants.
  • Medical center event support to include store, gather, transport and set up of all equipment needed for medical center events on and off-site.
  • Collects and delivers event-related supplies for Health Promotion, Marketing, Education, Cancer Resource Center, Volunteer Services, etc.
  • Support virtual programs through meeting/webinar hosting, recording/pre-recording, and video editing.
  • Provide timely and friendly technical and administrative assistance to the marketing team, attendees, and partners at the event, and medical center staff through email, phone, in-person and virtually.
  • Meet regularly with the nutrition services team, environmental services team, IT team, vendors, conference and events teams, and semi-regularly with leadership staff.
  • Create internal and external reports related to event details and outcomes. Compute key statistics to help track engagement and performance.
  • Responsible for providing logistical support, setting up tables, chairs, pop-up tents, etc., as well as attending to assist with on-site and off-site support.
  • Performs other duties as assigned.


Education: High school diploma or GED required. Bachelor's degree preferred.

Licensure: Valid driver's license is required.

Experience: Three (3) years' related experience required.

Essential Technical/Motor Skills: Sufficient knowledge and skill to use computers and related technology efficiently.

Pay Range: The hourly rate for this position is $33.26 - $41.58. The range displayed on this job posting reflects the target for new hire salaries for this position.
