An Epic Communication Project Lead is a marketing and communications expert with responsibilities to promote the operational readiness and change management through communications and marketing materials to Salinas Valley Health's internal and outpatient departments, project teams, patients and outside groups in preparation for the future transition to Epic, an enterprise-wide Electronic Health Record (EHR). It is expected that the Communication Lead be assertive, provide guidance and leadership and assist with Salinas Valley Health's Change Management program as communication is a key responsibility for a large enterprise transformation. Communication strategy development, rollout and delivery is expected for communication across internal project team, internally throughout the organization and externally to our affiliates or the community at large.

  • Provides leadership and direction regarding marketing and communication of the Epic Inpatient Project to align with best practices for consumer receipt, understanding, and reactions to communication messaging.


  • Create, design, develop and manage communication for the Epic project, including, but not limited to, posters, newsletters, fliers, emails, project talking points, memos, etc.


  • Leverage marketing and communications expertise to ensure that the organization has a smooth transition to the EHR (Epic).


  • Develop, support and promote the change management efforts necessary for a successful EHR transition.


  • Build awareness, desire, knowledge, and ownership among all users to allow for a smooth transition to Epic.


  • Participate in leadership and advisory council discussions to assist in outward, upward, and downstream messaging.


  • Develop and implement effective communications plans for Epic implementation and maintenance projects to support internal and external communications efforts to both employees and community members/patients.


  • ⦁Establish regular and frequent communication vehicles to project constituent groups.


  • Brainstorm creative messaging ideas, recommend, and develop content for various channels, including website, social media, newsletters, press releases, and presentations.


  • Collaborate with Epic and marketing colleagues, as well as public relations and external stakeholders, to ensure communications are timely, accurate, and consistent with branding standards set forth by Salinas Valley Health.


  • Monitor and evaluate communication efforts to ensure they are meeting established goals.


  • Project manage external communication vendors, ensuring they are adhering to project timelines and budgets as well as internal marketing team who will help support development efforts (translation, graphic design, posters, memo development, etc.).


  • Maintain an up-to-date understanding of Epic systems and how it integrates into various departments and environments at Salinas Valley Health. Be up to date on trends in the communications field and provide recommendations for communication and project improvement.


  • Create and implement processes for tracking and measuring communications success and project change management processes. Adapt communication or messaging where necessary to drive success.


  • Be involved in system-wide meetings, committees and/or other assignments that are designated to the Epic Project.


  • Assist with planning and execution of project events such as workflow walkthrough (WFWT), project celebrations, and go-live.


  • Sets the standard for behavior and provides and promotes a positive working environment for departmental staff to ensure strong employee morale, motivation, and productivity.


  • Post EHR implementation, assists with communication strategy around upgrades, application installs and workflow changes.


  • Holds accountability for the position and project communication budget and takes necessary action to remain within balance and address any variance.


  • Develop a strong, collaborative relationship with Administrators, peers, and other key individuals across Salinas Valley Health, and fosters a multi-disciplinary teamwork approach to decision-making and problem resolution.


  • Develop strong relationships with appropriate external constituencies relevant to the department in order to promote community relations and marketing programs, thus ensuring Salinas Valley Health is responsive to the community's developing needs and maintains a favorable image in the eye of the community.


  • Perform other duties as assigned.


Education: Position requires High School Diploma or GED. Bachelor's degree preferred.

Experience/Knowledge: One (1) year marketing/communication experience or completion of marketing internship required. Healthcare experience preferred.
Substantial knowledge of:
  • Current marketing and communication principles, theories and practices.
  • Laws, regulations and Salinas Valley Health guidelines pertaining to marketing and communication.
  • Knowledge of industry standard communication tools for professional material development and production.
  • Fiscal management skills to prepare, monitor and control budgets and reduce expenses.
  • Must be proficient with Microsoft Office Suite, Canva, and PowerPoint and have knowledge of Bananatag, SurveyMonkey, QR Code Generator, Monday.com, and Basecamp.

The hourly rate for this position is $40.43 - $50.54. The range displayed on this job posting reflects the target for new hire salaries for this position.
