Description:

The IT Administrative Assistant, under the supervision of the IT Supervisor, will play a crucial role in supporting the efficient operation of our IT Department. Your responsibilities will include administrative tasks, coordination, and assisting IT staff to support the daily operations of Heluna Health IT and will also provide assistance to overall required IT Projects, Purchasing and Procurement support for Heluna Health / Client Programs.

Salary range for the position is $22.68 to $26.21 per hour commensurate with experience

ESSENTIAL FUNCTIONS will include, but are not limited to, the following:

  • Administrative Support:
    • Manage calendars, schedule meetings, and coordinate appointments.
    • Prepare and distribute internal communications.
    • Maintain documentation, records, and filing systems.
  • Help Desk Assistance:
    • Handle IT 1st level IT support to user inquiries and troubleshoot basic technical issues.
  • Record complete and thorough documentation of all exchanges between the caller and the IT Helpdesk to our helpdesk ticketing system.
  • Be aware of and manage the inbound technical queue to ensure that the IT Helpdesk Remote Support is meeting its Service Level Goals.
  • Escalate complex problems to senior IT staff as necessary.
    • Maintain acceptable workloads in all queues of TrackIT to ensure that issues are being resolved as quickly as possible.
    • Research ticket statistics and bring to the attention of the Analyst and leadership teams problems and or concerns.
  • Inventory Management:
    • Track IT equipment, supplies, and inventory management.
    • Assist with procurement and asset management of IT and non-IT equipment for HQ & clients.
  • Data Entry and Reporting:
    • Enter data into databases and maintain accurate records.
    • Generate basic reports and assist with data analysis.
  • Vendor Coordination:
    • Communicate with external vendors and service providers.
    • Assist in managing vendor relationships.
  • Assist IT Projects:
    • Support project managers in organizing project-related tasks.
    • Coordinate project meetings and follow up on action items.
  • Others:
    • Help in other areas of the IT Helpdesk and IT Projects as required or necessary.
    • Other job duties as assigned.

JOB QUALIFICATIONS

  • Familiar with general IT Ticketing Management Systems.
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication.
  • Basic understanding of IT concepts and terminology and infrastructure.
  • Experiencing with IT Procurement / Inventory / Contracts Lifecycles
  • Able to work in IT Helpdesk Tier I capacity to ensure SLA requirements are met.

Education/Experience

  • Associate degree in computer related discipline or equivalent experience
  • 2-3 years of recent experience in IT procurement, IT inventory management, IT Contracts and working with IT Teams
