We're looking for a
Medical Records Coordinator to manage and maintain resident medical records and health information systems in our senior living community. This role is
primarily focused on medical records — ensuring all documentation is accurate, properly filed, compliant with regulations, and easily accessible when needed.
What You'll Do:
- Organize, maintain, and update resident medical records (both paper and electronic) according to federal, state, and facility guidelines.
- File important documents such as nurses' notes, assessments, progress notes, lab reports, x-rays, and physician reports into resident charts.
- Retrieve, deliver, and track medical records as requested by authorized staff, physicians, or agencies.
- Assemble, check, and ensure charts are complete, coded, signed, and properly indexed before filing.
- Assist the MDS Coordinator with scheduling resident assessments per OBRA guidelines.
- Abstract information from records for insurance companies, Medicare, Medicaid, VA, and other authorized parties while strictly following privacy rules.
- Maintain registries for admissions and discharges, and keep various logs up to date.
- Transcribe and type physician reports as needed.
- Answer telephone inquiries about medical records and prepare written correspondence.
- Ensure records never leave the department without proper authorization and are signed in/out when moved.
- Develop and follow procedures to keep charts complete and secure.
- Maintain confidentiality of all protected health information (PHI) and report any suspected violations immediately.
- Provide secretarial support for facility committees and compile records for reviews.
- Batch resident information into the computer system and retrieve demographic data as needed.
- Attend required in-service trainings (OSHA, HIPAA, etc.) and stay current with regulations.
What You Bring:
- High school diploma or GED (required)
- Ability to type a minimum of 45 words per minute
- Working knowledge of medical terminology (preferred, but on-the-job training provided)
- Strong computer skills — comfortable with data entry, retrieval, and basic computer functions
- Excellent attention to detail and organizational abilities
- Ability to communicate clearly in English (read, write, speak, and understand)
- Good math skills (working with fractions, percentages, ratios, etc.)
- A professional, tactful, and positive attitude with the ability to work well with others
- Previous experience in medical records or a healthcare setting is a plus
- Strong commitment to protecting resident privacy and following HIPAA guidelines
Physical Requirements:
You'll move intermittently throughout the day, retrieve and file records, and occasionally push, pull, or lift up to 25 pounds (up to 5 feet high) and carry items up to 50 feet. Reasonable accommodations will be made for individuals with disabilities. You may need to assist in resident evacuation during emergencies.
