Writes scopes, gets bids and works with directly vendors on projects Schedules appointments, gives information to callers, and otherwise performs clerical work, administrative and business duties. Follows AAA 4 Diamond Service Standards.Updates and maintains record and schedules all routine maintenance items for the hotel including rooms PM logs, inspections, readings, equipment PM’s, daily checklists. Coordinates outside vendors to complete items not conducted by in-house staff.
Maintains and updates all vendor information including maintenance contracts, insurance certificates, contact information, and scope of work.
Works closely with all departments and coordinates work scheduled in house and via outside contractors as assigned.
Puts together scopes of work, solicits bids from vendors and coordinates projects. Acts as project coordinator for projects and capital expenditures as assigned.
Works closely with tenants at Playa Del Oro Apartments and FWK building to ensure that tenant needs are met with respect to maintenance and upkeep. Manages all cleaning contracts for both buildings. Acts as project coordinator for tenant improvements and major repairs.
Reviews and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.
Composes, types and makes copies of routine correspondence and other printed materials. Maintains correspondence, files and other records. Prepares outgoing mail.
Answers telephone and gives information to callers or routes call to appropriate person and places outgoing calls.
Keeps engineering shop bulletin board(s) updated on company and department activities. Keeps Engineer locker room updated and restocked with forms and supplies.
Compiles and types statistical reports. Files and tracks all project costs.
Attends Engineering Department meetings; records and generates the minutes.
Places orders for parts and materials when requested.
Tracks purchase orders and division budget.
Compiles yearly and end of the month budgets and reconciles with actual expenses
Compiles vacation and readies employee status change forms.
Maintains employee timekeeping records.
Keeps office in a clean and organized manner.
Other duties may be assigned.
OUTCOME
The overall maintenance of the guest room and the facilities influence guest and co-employee impression of the total organization. Clean, well-maintained guest rooms, facilities and equipment will contribute to guest comfort and satisfaction. Working with the engineers by managing administrative work load and projects and providing support services will assist engineers in quickly handling property maintenance needs.
QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE
Bachelor's degree (B.A.) from four year college or university; or one to two years related experience and/or training; or equivalent combination of educational experience.
LANGUAGE SKILLS
Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions in English from managers, clients, employees, customers, and the general public.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to create and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
CERTIFICATES, LICENSES, REGISTRATIONS
Must have valid California Drivers License.
OTHER SKILLS and ABILITIES
Ability to work in an efficient and professional manner with limited supervision. Must be able to use a word processing software such as WordPerfect or word, some Data Base program (i.e. DBase IV, Access), and also have skill with a spreadsheet program.(Excel or Lotus) Ability to type 45 WPM.

INTERACTION
Employees in this position interact daily with all the maintenance and front desk personnel, frequently with vendors, administration, accounting, housekeeping, and the kitchen departments. Occasionally, this position requires guest interaction. Employees must have the ability to communicate and work with the many departments along with designated guests.
SCHEDULING
Must be available to work holidays and weekends.
This company operates seven days a week, 24 hours a day. Shifts will generally be rotated, as much as possible to be fair to everyone. Be aware that at times it may be necessary to move you from your accustomed shift if business or task assignments demand.
