The Opportunity
  • Collaborates closely with internal clients and stakeholders to create audio visual project plan for meetings and events that supports the client's vision and meeting's goals within budget.
  • Develops and maintains audio visual matrix for large multifaceted meetings and events. Tracks session-timed agendas, presenters, presenter's laptop requirements, presenter's presentation format, presenter's connectivity requirements and other audio, visual, or technology needs, and session recording schedule.
  • Organizes, merges, and tests presentations for meeting's general sessions and breakout sessions. Provides PowerPoint template, size specifications, and best practices for use of multimedia content within slide deck to presenters.
  • Provides technical support to speakers, presenters, and panelists, ensuring optimal audio and video quality.
  • Operates and troubleshoots AV equipment, including microphones, projectors, sound systems, cameras, lighting, and streaming platform.
  • Maintains inventory and proper condition of audio and visual equipment including projectors, laptops, tablets, printers, cameras, lights, recording devices, video and phone conferencing units, microphones, catch boxes, cables, and cords.
  • Assists in identifying onsite audio-visual support needs for meetings.
  • Trains onsite audio-visual support team, organizes daily workflow, and provides set-up and technical instructions.
  • Coordinates audio and visual equipment check list for meetings.
  • Prepares equipment for shipment to ensure assets are accounted for and protected from damage.
  • Administers recordings and live streams for general sessions and breakouts to a national audience participating remotely.
  • Travels to meetings and events as need to provide onsite audio-visual support.
  • Collaborates closely with internal clients and stakeholders to support the creation of multimedia content, understanding project timeline and outcomes and what is required to meet those outcomes.
  • Assist in editing multimedia content, including photographs, video recordings, live streams, training materials, event highlights, and other digital media assets.
  • Sets up and breaks down recording equipment before and after use.
  • Provides consultative advice and guidance to other departments and individuals creating their own multimedia content with respect to internal standards, best practices, and available technology.
  • Organizes, plans, and communicates audio-visual specifications with the venue's audio-visual company.
  • Tracks and organizes AV orders and reviews orders, quotes, and invoices for accuracy.
  • Acts as liaison onsite between client, presenters, speakers, and venue's audio-visual team. Collaborates with venue's event technicians to ensure accurate audio and visual set-up and technical support functions operate efficiently, effectively, and with proper internal controls.
  • Coordinates with IT and Facilities on AV equipment and set-up requirements for meetings in offices.


Required Experience and Competencies
  • Bachelor's degree in Communication and Technology, Multimedia Journalism, Broadcast Production, or related field required.
  • Minimum three to five years of experience of increasingly complex audio and visual industry experience required.
  • Experience in video, sound, or new media in a corporate environment preferred.
  • Certified Technology Specialist (CTS) preferred.
  • Knowledge of audio and visual equipment and the inter-connectivity of equipment, systems, and related peripherals.
  • Knowledge of audio and visual technical terminology to effectively communicate with venue's audio and visual team.
  • Ability to read and comprehend technical documents including venue's audio-visual order and meeting room diagrams.
  • Ability to set up, interconnect, and operate audio and visual equipment including LCD projectors and screens, audio mixers, microphones, sound systems, cameras, computers, laptops, tablets, smartphones, and other technology devices.
  • Ability to troubleshoot and resolve technical related issues under pressure.
  • Ability to keep organized and perform multiple tasks with varying priorities under conditions requiring speed and accuracy.
  • Knowledge of various editing platforms and operating systems to edit audio and video recordings.
  • Creative ability with an eye for detail.
  • Strong time and resource management skills.
  • Ability to operate a camera or recording device and set-up lighting and backdrops as needed.
  • Ability to establish and maintain effective working relationships as required by the duties of the position.
  • Ability to use office equipment and automated systems/applications/software at an acceptable level of proficiency.
  • Ability to read, understand, and communicate in English sufficient to perform the duties of the position.
  • Ability to convey information effectively in verbal and written communications.
  • Ability to formulate and provide recommendations for audio, visual, and technology solutions.
  • Knowledge of new technologies and industry best practices to maximize efficiency and elevate meetings audio and visual production.
  • Ability to travel to meetings and events as needed.
