Key Responsibilities:
  • Scheduling & Follow-up:
    • Schedule post-operative and follow-up appointments for patients in a timely and efficient manner.
    • Coordinate appointment reminders and follow-up communications.
    • Ensure all pre- and post-operative instructions are clearly communicated and documented.
  • Patient Referrals:
    • Process inbound and outbound patient referrals in accordance with clinical protocols.
    • Track referral status and ensure timely completion of referral appointments.
    • Maintain accurate records of all referral communications.
  • Medical Record Audits:
    • Conduct regular audits of patient medical records to ensure accuracy, completeness, and compliance with HIPAA and organizational standards.
    • Identify and report discrepancies or documentation gaps to the Medical Records Director.
  • Communication & Coordination:
    • Serve as a point of contact for patients regarding care coordination, appointment status, and required documentation.
    • Collaborate with providers, clinical staff, and administrative personnel to ensure continuity of care.
    • Address patient questions and concerns with professionalism and empathy.
Qualifications:
  • High school diploma or equivalent required
  • Minimum of 2 years experience in a healthcare setting, preferably in a coordination or administrative role.
  • Proficient in medical terminology and understanding of clinical workflows.
  • Experience with electronic medical record (EMR) systems required.
  • Exceptional verbal and written communication skills.
  • Strong attention to detail and accuracy in data entry and recordkeeping.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Knowledge of HIPAA compliance and confidentiality requirements.
Supervision:

This position reports directly to the Medical Records Director and works closely with both the administrative and clinical teams
