Position SummaryThe
Flight Operations Training Coordinator is responsible for supporting, administering, and maintaining all aspects of Clay Lacy Aviation's Flight Operations training programs.
This role interfaces with contract training providers, internal stakeholders, and business partners to ensure the effective delivery and compliance of all training activities.
The Training Coordinator provides direct administrative assistance to the Director of Training and ensures that all training operations comply with applicable federal regulations.
This position plays a key role in promoting Clay Lacy Aviation's mission, vision, and values by fostering a collaborative team environment that enhances safety, service, and value for our customers and employees.
Location: Van Nuys, CA (Remote)
Schedule: Full-Time; Days and hours of work vary depending on reporting demands.
Compensation: $34.00 - $38.00 per hour; Eligible for comprehensive CLA benefits.
Primary Responsibilities - Run crew due/expiring reports to identify required training and schedule accordingly.
- Respond and handle all pilot, cabin attendant and maintenance training requests in a timely manner.
- Coordinate and schedule all pilot training for assigned accounts
- Proactively schedule International Procedures, CPDLC, ADS‑B, and other required training-including new‑hire requirements.
- Proactively schedule all Company Recurrent and Emergency Drills training events.
- Manage and process training cancellations to ensure compliance with 30‑day cancellation policies.
- Monitor employee separations and promptly cancel training events with centers as needed.
- Communicate changes to new and existing training events with the Operations
- Resource Manager to ensure crew and aircraft calendars in Avianis remain accurate.
Additional Responsibilities- Ensure training is scheduled for all crew members for current and upcoming year
- Support audits, Smartsheet improvements, and special projects
- Process training center billing requests
Collaboration & Cross-Functional Support- Work with Aircraft Managers to prioritize and schedule training
- Maintain accurate schedules and availability for assigned ACMs
- Partner with Flight Operations Leadership, the Safety Department and HR to ensure regulatory compliance
- Identify process improvements and efficiency opportunities
- Manage third‑party vendor relationships
- Provide timely and accurate crew‑related data to internal departments
Qualifications- Strong written and verbal communication skills with a professional and service‑focused approach
- Proactive, collaborative approach to problem‑solving with a focus on solutions and continuous improvement.
- Advanced proficiency in the Microsoft Office Suite (Excel, Outlook, Word, Teams).
- Strong instructional and facilitation skills with the ability to effectively engage groups in training environments.
- Ability to interact professionally with employees at all levels of the organization.
- Demonstrated ability to manage multiple projects simultaneously with time‑sensitive deadlines.
- Excellent organizational skills with the ability to prioritize competing tasks effectively.
- Strong written and verbal communication skills with a professional, service‑oriented approach.
- High attention to detail and accuracy in scheduling, documentation, and recordkeeping.
- Ability to work both independently and collaboratively in a fast‑paced, dynamic operational environment.
- Ability to perform basic data analysis and interpret information for planning and compliance
- Commitment to maintaining confidentiality and handling sensitive information appropriately.
Work and Travel ExpectationsThis is a full-time position. Days and hours of work vary depending on reporting demands. Up to 25% travel is required.
Required Education and Experience: - High school diploma or equivalent required; associate's or bachelor's degree preferred
- Prior experience in a Part 135 or corporate aviation environment strongly preferred
- Demonstrated experience coordinating training programs, including working with third-party training providers
- Working knowledge of crew qualification cycles and recurrent training requirements
- Proven ability to support cross-functional teams, including Flight Operations, Human Resources, Safety, and Aircraft Management
- Educational background or relevant coursework in Training, Aviation Management,
- Business Administration, or a related field preferred
