Position Summary
The Ward Clerk assists the Nurse Supervisor and Charge Nurse with the daily recording, charting, and organization of medical and administrative information. This role is responsible for maintaining accurate and complete medical records while supporting the nursing department with clerical and communication needs to help ensure the delivery of exceptional resident care.
Essential Responsibilities
- Maintain accurate and timely resident medical records and documentation
- Assist the Nurse Supervisor and Charge Nurse with daily clerical and administrative duties
- Prepare, organize, file, and update resident charts and records
- Process physician orders and ensure documentation is complete and accurate
- Answer telephones and communicate effectively with residents, families, physicians, and staff
- Coordinate the flow of information between departments to support resident care
- Ensure all records comply with federal, state, and facility regulations
- Maintain confidentiality of resident information in accordance with HIPAA standards
- Perform other administrative duties as assigned by nursing leadership
Qualifications
- High school diploma or equivalent required
- Previous experience as a Ward Clerk, Unit Secretary, Medical Records Clerk, or in a healthcare administrative role is preferred
- Experience in a skilled nursing or post-acute care setting is a plus
- Strong organizational, multitasking, and time management skills
- Excellent verbal and written communication abilities
- Proficiency with electronic medical records (EMR) and basic computer applications
- Ability to work independently and as part of an interdisciplinary team
