Position Summary:

The Clinical Coordinator oversees management of work related to the Clinical Externship courses in the Veterinary Academy. The individual will assist the Team Lead & Academic Director in managing the externship courses and any externship staff members. They will review proposed sites and will coordinate the movement of clinical documentation from students to approving faculty. The clinical Coordinator will be responsible for handling any escalations arising from externship students and/or sites. The role will require technical knowledge due to shared oversight of the program's externship learning management system.

Essential Job Functions:

  • Oversee management of workflow related to Clinical Externship courses.
  • Assume responsibility for processing all documents related to Clinical Externship courses.
  • Assist in reviewing and revising clinical externship course materials, documents, and skills.
  • Ensure the organization and maintenance of accurate and comprehensive spreadsheets, documents, and records pertaining to externship.
  • Maintain externship data.
  • Reviewing proposed clinical sites and contacting clinical supervisors.
  • Monitor student progress in clinical externship courses.
  • Assist in training new clinical externship faculty and update training database.
  • Shared oversight of the program’s externship learning management system
  • Coordinate off-campus grading of clinical externship materials.
  • Participate in other academic and management activities as directed by the Team Lead and Director.
  • Respond to student e-mail, tickets, incidents, and answer student calls.
  • Ensure that service level standards are met in the processing and turnaround of all student externship work.
  • Handle escalations as pertaining to externship courses.
  • Ensure alignment with program requirements and accreditation standards
  • Active participation in company, team, and individual meetings, completion of annual professional development, and other required training or knowledge sessions relevant to the role.

Knowledge, Skills, Abilities:

  • Must possess a minimum of an Associate’s degree from an AVMA accredited program.
  • Must be a Credentialed Veterinary Technician possessing a minimum of 2 years experience in a clinical setting. License must be current and in good standing with state licensing board.
  • Strong interpersonal skills necessary for positive interactions with students, team members, externship sites, and the leadership team.
  • Demonstrated proficiency with technology and the ability to troubleshoot system-related issues effectively.
  • Excellent time management and task prioritization skills.
  • Prior externship experience preferred.
  • Experience with online learning preferred.
  • Excellent grasp of how technology can be applied to new methods of instruction.
  • Must possess strong organizational skills with the ability to work independently.
  • Strong written communicator with the ability to work collaboratively with a team.
  • Ability to think quickly, communicate effectively and efficiently, and enjoy being part of a team.
  • Contribute to a supportive, positive team culture.
