We are searching for the best talent for Payroll Supervisor.

Purpose:

  • Supervises individual contributors and/or Supervisors, and is accountable for conducting effective performance management.
  • Establishes, reviews, and verifies payroll internal controls with emphasis on data integrity, security, and compliance.
  • Maintains Payroll staff by recruiting, selecting, orienting, and training employees.
  • Prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability, and non-taxable wages.
  • Experience in Manufacturing companies, strong knowledge in local legislation.
  • Complies with local legal requirements by studying existing and new legislation enforcing adherence to requirements and advises management on needed actions.
  • Completes operational requirements by assigning employees and following up on work results.
  • Updates Payroll records by reviewing and approving appropriate changes.
  • Responsible for managing operational aspects of their team (e.g., workflow, performance, and compliance), as well as ensuring achievement of team goals within expected standards.
  • Understands and applies Johnson & Johnson’s Credo and Leadership Imperatives in day-to-day interactions with team.

You will be responsible for:

  • Ensure payroll-related data from Company internal applications interfaces into the payroll system before payroll deadline.
  • Manage process of accounting, payments, Time & Attendance, Long Term incentives, as part of Payroll.
  • Leading process reviews, continuously looking – and turning into actions - improvements opportunities to leverage overall efficiency, effectiveness and employee experience.
  • Provide extensive expertise on end to end Payroll processes, focus on payroll calculation and Time and Attendance.
  • Execute most complex Payroll Operation tasks and overall review analysts work to ensure quality, timeliness and accuracy of Payroll, T& A, Accounting and Banking Information, Data and Ancillary Obligations
  • Ability to perform and review reporting and remittances such as month end, quarter end and year end payroll returns.
  • Organize the analyst’s daily routine and coordinate their tasks as well as their individual and group development goals.
  • Support the region Manager, when necessary, with actions and team coordination on critical local, regional or global strategic topics that may require changes, flexibility or adaptability in current operations routines;
  • Ability to perform and review reporting and reconciliation.
  • Develop and implement procedures regarding the management of mass uploads files and reconciliations.
  • Develop and implement procedures to support the performance automated or manual activities within the payroll application including controls and reconciliations where appropriate
  • Executes, in accordance with globally established standards, processes for SOX compliance, internal controls, and required regulatory/statutory requirements (including payroll record data maintenance).
  • Coordinate analyst´s work on Interface processing controls and timely handling of Interface and processing errors.
  • Coordinate processes regarding the preparation of payroll processing including the simulation of payroll runs and audit reports and validations.
  • Maintains a high degree of confidentiality, data protection assurance, conformity with J& J policies, procedures, external regulations, and agencies.
  • Review payroll process and administration documentation.
  • Identifies and raises continuous improvement and automation opportunities.
  • Supports cross-functional projects with payroll dependency.
  • Serve as the owner for audits (both internal and external).
  • Coach and mentor payroll staff level resources in the cluster.
  • Supports and resolves payroll related inquiries.
  • In accordance with all local laws/regulations and Corporate Johnson & Johnson, procedures and guidelines, this position:

  • Performing or overseeing activities like manufacturing steps, process or design validations, product testing, marketing analysis, etc.
  • Define the primary outputs of the job being performed such as specific documents like Device Master Records, Technical Files, process validation protocols and reports etc.

  • Responsible for communicating business related issues or opportunities to next management level
  • Responsible for following all Company guidelines related to Health, Safety and Environmental practices as applicable.
  • For those who supervise or manage a staff, responsible for ensuring that subordinates follow all Company guidelines related to Health, Safety and Environmental practices and that all resources needed to do so are available and in good condition, if applicable
  • Responsible for ensuring personal and Company compliance with all local and Company regulations, policies, and procedures
  • Performs other duties assigned as needed

Qualifications / Requirements:

Experience and education

  • A bachelor’s degree or equivalent is required.
  • A minimum of 6 years of prior Payroll Processing experience (inside or outside JnJ).
  • A minimum of 3 years in a supervisory role is required (inside or outside JnJ).
  • Knowledge of payroll Costa Rica processing in manufacturing companies (processes, regulations, vendor landscape, time and attendance, etc.).

Required knowledge, skills, abilities, certifications/licenses and affiliations

  • Native/Fluent English language verbal and written communication skills is required.
  • Research and problem-solving skills required.
  • Ability to think strategically, make recommendations to leadership, and in some cases, serve as the decisionmaker for payroll administration topics
  • Cultural awareness and an ability to work with a multitude of people across multiple markets assigned.
  • Prior experience with payroll processes as well as month end, quarter end or year-end payroll returns or remittances, procedures, controls, regulations, and compliance is required.
  • Knowledge and/or experience with the Leading Third-Party Payroll Providers (ADP, NGA, SDWorx, etc.
  • Prior experience in a multi-national company, and/or experience in Finance/HR Shared Services preferred.
  • Prior experience in GV, GV Time, Salesforce Service Cloud, SAP, Workday is preferred.
  • Knowledge and/or experience with Knowledge Management artifacts such as Desktop Procedures (DTPs) and proficiency with Compliance requirements (SOX and Business Controls) is required.
