What You Will Do

The Executive Assistant will provide exceptional administrative and secretarial support functions to the General Manager Turkey relating to all aspects of the business including information of a highly sensitive and confidential nature. The Assistant will resolve issues proactively through relevant processes and procedures as well as liaise with all business levels across internal and external organizations.

Key Responsibilities

• Supporting the General Manager in a gatekeeper role.

• General administration tasks, including HR Admin support, ensuring proper documentation and follow-up on HR-related matters.

• Travel organization for the General Manager and other key team members, including guest arrangements

• Expense reports for the General Manager and key team members.

• Organize regional and global team meetings, conferences, handling follow-up and documentation post-scientific congresses, coordinating technical work follow-up with government authorities, Maintaining and updating healthcare professional systems and data, including data systems related to compliance.

• Overseeing general office management tasks, Supporting office functions, including purchase order preparation and management, Organizing regional and global team meetings, town halls, and webinars.

• Maintain accurate distribution lists

• Support in the setup of communication material (meeting minutes, business presentations,

• newsletters, announcements)

• Support Sharepoint, MS Teams, Touchpoint

• Screening telephone calls

• Purchase Order preparation and follow-up

• Conducting data research as required

• Diary management for the General Manager: prioritize and manage a complex schedule of

• commitments while ensuring the calendar is fully maintained and accurate. Proactive

• notifications of schedule changes

• General support and back-up

• Perform other related duties as required.

What We Are Looking For

Required Qualifications

• 2-4 years experience in Executive Assistant and experience in an international environment.

• HR admin experience is a plus.

• Ability to work in a diverse team environment.

• Good technical aptitude to learn healthcare professional system software (training will be provided)

• Office management skills and proficiency in Microsoft Office Suite

• Ability to work independently and manage multiple tasks across various departments

• High attention to detail and excellent organizational skills

• Flexible and able to handle diverse responsibilities in a dynamic work environment

• high degree of attention to detail, ability to work under pressure

• Ability to work with confidential and sensitive data

• Outstanding project management and follow up skills

• A proactive approach to prioritize and anticipate

• Excellent office management and interpersonal skills are essential as are good organizational abilities.

• Advanced written and spoken English, some German would be advantageous
