Schneider Electric is hiring a Service Planner & Coordinator in Petaling Jaya, 10. This is a full-time position.

The Service Planning and Order Management Specialist is responsible for managing the end-to-end service order process, coordinating service planning activities, and ensuring accurate contract and order management. The role works closely with Sales, Logistic, Warehouse, Finance, Supply Chain, and Customers to ensure timely order fulfillment, contract activation, and operational excellence while maintaining a high level of customer satisfaction.

What will you do?

Service Order Management
  • Process and manage service orders from order receipt through completion.
  • Review customer purchase orders and ensure accuracy of order information and supporting documentation.
  • Create, update, and maintain service orders within ERP and service management systems.
  • Monitor order status and proactively resolve issues impacting fulfillment.
  • Ensure compliance with company policies, contractual requirements, and operational procedures.
Service Planning and Coordination
  • Coordinate service schedules and resource allocation to support customer requirements.
  • Liaise with field service engineers, project teams, and service managers to ensure timely service delivery.
  • Monitor service demand and support capacity planning activities.
  • Assist in prioritizing service requests based on business requirements and service level agreements (SLAs).
Contract and Entitlement Management
  • Verify service contracts, warranties, maintenance agreements, and customer entitlements.
  • Support contract activation, renewal, and amendment processes.
  • Ensure contracts are accurately maintained within internal systems.
  • Validate service coverage and entitlement prior to order processing.
Customer and Stakeholder Support
  • Serve as a key contact for service order and planning inquiries.
  • Communicate order status, delivery schedules, and service updates to stakeholders.
  • Collaborate with Sales, Finance, Logistics, and Service Delivery teams to resolve operational issues.
  • Support customer escalations and drive timely resolution.
Reporting and Data Management
  • Maintain accurate records and documentation within company systems.
  • Generate operational reports on backlog, service orders, contract activations, and performance metrics.
  • Monitor KPI performance and identify opportunities for process improvement.
  • Support audit and compliance requirements through proper documentation management.
Continuous Improvement
  • Identify process inefficiencies and recommend improvements.
  • Participate in automation, system enhancement, and transformation initiatives.
  • Support implementation of standard operating procedures (SOPs).
  • Contribute to projects that improve customer experience and operational efficiency.

What qualifications will make you successful?
  • Education
    • Diploma or Bachelor's Degree in Business Administration, Operations Management, Supply Chain, Engineering, or related discipline.
    Experience
    • 2-5 years of experience in Order Management, Service Operations, Customer Service, Supply Chain, or Planning.
    • Experience working in a service-oriented or technology environment is an advantage.
    • Familiarity with service contracts and maintenance business processes preferred.
    Technical Skills
    • ERP systems (SAP, Oracle, Dynamics, etc.)
    • Microsoft Excel (Intermediate to Advanced)
    • Microsoft Office Suite
    • Salesforce / BFO
    • CRM and Service Management tools
    • Power BI reporting knowledge is an advantage
