What you will do The Purchasing Coordinator / P2P is accountable to successfully process purchase orders and coordinate related end to end activities (PR creation and PO maintenance), for the NA region and globally. They will be considered SME for the P2P activities and will manage troubleshooting of issues, continuous improvement efforts and centralization of CRE Corporate Real Estate P2P tasks. This position will support the North America CRE region and globally.
This role is responsible for reporting on current spend profiles and the ability to think innovatively about solutions to future reporting requirements are also required.
A suitable candidate for this role will have demonstrated experience in Procure to Pay (P2P) systems and processes including eMarketplace, Ariba, OneS4 and MDG (Master Data Governance). Ability to process complex requests, analyse financial data, multi-task and prioritize are imperative skills.
Key relationships include communication and coordination with FM and global leads to ensure successful and accurate processing and reporting as well as other partners within CRE. Communications skills are critical including the ability to explain and support to ensure a successful outcome.
Key Responsibilities • Partners with finance to provide reports and drive improvements as necessary
• Provides support to FM leaders & site/service managers for their procurement processes and Master Data Governance (MDG) roles. This includes purchase orders, check requisitions, utility payment processing, invoice issue resolution, vendor information management, real estate check requisitions (GLA- Global Lease Administration)
• Drives compliance to policies and procedures. Provides guidance in P2P activities and ensures we have processes in place with the launch of new systems to ensure compliance and transparency are maintained
• SME in region for including but not limited to eMarketplace, Ariba, OneS4 and MDG
• Assists and/or lead special projects/duties/analyses/presentations for management as assigned
• Supplier master data governance with integrated facilities management providers
• Identifies and implements P2P process improvements and governance to ensure consistent quality and compliance
• Provides P2P support for new acquisition and divestitures in region (cutover activities, educating on policies and procedures, closing open PO's, etc.)
• Provides monthly spend, open PO and any ad hoc reports as required
• Places ticket requests in Solutions Hub for closing POs, transferring POs, invoicing resolution and reports
What we are looking for Required Qualifications
• Bachelor's degree in related field (operations, engineering, computer science, facilities management, construction management, business, etc.)
• Fluency in English, both written and spoken.
• Minimum 4 years of relevant experience
• Experience of working in cross functional teams
• Proficient in use of Microsoft Word, Excel, Power Point, SharePoint and other Microsoft Office Suite components
• Experienced in use of eMarketplace, Ariba, OneS4 and MDG
• Strong customer services approach
• Articulate verbal and written skills
• Able to analyze financial data and calculating values for reporting and authorization
• Strong organizational skills and ability to multi-task in a busy organizational environment
